General Purpose of Job:
The Child Care Assistant Director Intern supports Quad Care leadership by assisting with daily operations, compliance support, staff coordination, and family engagement. This is accomplished through hands-on involvement in administrative processes, guided observation of leadership practices, and participation in center activities. The role is designed to provide real-world exposure to early childhood administration while building practical skills in organization, communication, and regulatory awareness.
This position exists to help develop future early childhood professionals by offering structured learning opportunities and mentorship, while also supporting the efficiency and quality of center operations. The intern works under close guidance and does not assume independent administrative authority or licensing responsibility.
Key Responsibilities:
• Assist leadership with daily center operations and administrative tasks by supporting scheduling, organizing documentation, and helping maintain efficient daily workflows.
• Provide classroom support as needed under direction by assisting with activities, transitions, and supervision to help maintain continuity of care (non-ratio responsibility unless qualified).
• Observe and support scheduling processes by identifying coverage needs and assisting with daily adjustments to maintain appropriate staffing.
• Maintain organized child and staff records by updating, filing, and ensuring documentation is accurate and accessible.
• Learn Wisconsin DCF licensing requirements and Quad Health & Safety standards by observing how regulations are applied in daily operations.
• Assist with classroom compliance checks using checklists by supporting walkthroughs, identifying required elements, and documenting findings.
• Support preparation for inspections and internal reviews by organizing and gathering required documentation.
• Assist with staff onboarding and training preparation by organizing materials and supporting scheduling logistics.
• Support child assessments and documentation by helping compile observations and organize developmental records.
• Participate in staff meetings to gain exposure to team collaboration, communication, and decision-making processes.
• Observe professional development and mentoring practices to understand how staff performance and growth are supported.
• Support parent communications by drafting, formatting, or distributing messages to ensure clear and timely information sharing.
• Assist with event planning and family engagement activities by coordinating materials and supporting execution.
• Gain exposure to child care center administration by participating in operational, compliance, and communication processes.
• Build understanding of state licensing and regulatory compliance by observing how requirements are implemented in practice.
• Develop professional communication and organizational skills through administrative tasks and interactions with staff and families.
• Build foundational leadership and operations knowledge in early childhood settings by shadowing leadership and participating in team activities.
Job Requirements:
Education:
Currently enrolled in or recently completed coursework in Early Childhood Education, Human Services, Education, Child Development, or a related field.
Experience:
Previous childcare experience preferred but not required
Certificates, Licenses, Registrations:
CPR / First Aid certification (or willingness to obtain).
Completion of Child Abuse & Neglect training (Quad provided).
Wisconsin Registry enrollment (preferred or supported).
Knowledge, Skills & Abilities:
• Strong interest in early childhood leadership and administration.
• Professional communication and confidentiality awareness.
• Organized, dependable, and eager to learn.
• Ability to follow direction and ask questions appropriately.
• Comfortable using basic software (email, scheduling tools, documents).
