We are seeking a highly organized and detail-oriented Quality Administrative Specialist to support our Quality and Regulatory team. This role is ideal for someone with experience as a medical secretary, legal secretary, executive assistant, administrative coordinator, project coordinator, or document control specialist.

We are looking for someone who thrives in a fast-paced environment, enjoys managing documentation and data, and takes pride in keeping projects, records, and processes organized and on track.

What You'll Do

  • Maintain and organize quality, compliance, and operational documentation
  • Manage document revisions, records, and filing systems
  • Track projects, deadlines, action items, and follow-up activities
  • Create and maintain spreadsheets, reports, logs, and databases
  • Support audit preparation and documentation requests
  • Coordinate meetings and assist with administrative projects
  • Ensure records remain accurate, organized, and audit-ready
  • Work closely with leadership and cross-functional teams
  • Assist with process improvements and special projects

What We're Looking For

Required:

  • 2+ years of experience in an administrative, executive assistant, legal secretary, medical secretary, project coordinator, or document control role
  • Advanced Microsoft Excel skills
  • Strong Microsoft Office proficiency (Word, Outlook, PowerPoint)
  • Exceptional organizational and time management skills
  • Strong attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities in a deadline-driven environment

Preferred:

  • Experience in healthcare, manufacturing, legal, compliance, or regulated environments
  • Experience with document control or records management
  • Experience supporting audits, compliance activities, or quality systems
  • Associate's or Bachelor's degree
