About the Opportunity

Medix is seeking a Quality Assurance Document Control Specialist for an Aurora, IL manufacturing facility. This position is open due to an internal promotion and offers the opportunity to join a growing organization in a highly regulated food, nutrition, and dietary supplement manufacturing environment.

Our client specializes in dry-powder blending, processing, packaging, and contract manufacturing for food, nutritional, and dietary supplement products. The facility operates under strict quality and food safety requirements, creating an excellent opportunity for someone interested in quality systems, document control, compliance, GMP, and food safety.

Position Overview

The Quality Assurance Document Control Specialist serves as a primary point of contact for quality assurance and food safety documentation throughout the facility. Reporting directly to the Quality Assurance Manager, this individual will be responsible for maintaining organized, accurate, and current documentation to support quality systems, food safety programs, supplier approvals, product specifications, employee training, and audit readiness.

This is not a traditional product inspection role. Instead, the position focuses on the documentation and systems behind quality and food safety, while also working closely with production employees and facility leadership to communicate and implement updated procedures and programs.

Key Responsibilities

Quality Systems and Document Control

• Serve as the lead point of contact for quality assurance and food safety documentation.
• Manage and organize documentation associated with the supplier approval program.
• Maintain product and specification documentation, ensuring current specifications are available and being followed.
• Keep Food Safety Management System (FSMS) documents current, accurate, organized, and audit-ready.
• Maintain controlled documents, procedures, policies, and quality records.
• Support compliance with customer requirements, certifications, and applicable state and federal food safety and quality standards.
• Assist with updates to quality programs, procedures, and documentation as requirements or processes change.

• Support Quality Management during customer visits, audits, inspections, and other facility assessments.
• Retrieve documentation, records, training files, specifications, and other requested information during audits.
• Help ensure documentation is organized and readily accessible at all times.
• Maintain an audit-ready documentation system and support continuous compliance efforts.

Training and Employee Education

• Engage production employees in Good Manufacturing Practices (GMPs), food safety programs, quality policies, and procedures.
• Facilitate employee training when quality programs, policies, procedures, or controlled documents are implemented or updated.
• Partner with the QA Manager to coordinate facility-wide and individual employee training.
• Help ensure employees understand and follow updated procedures and documentation requirements.
• Support improved compliance through clear communication, education, and collaboration with production teams.
