The Radiology Scheduler is a key administrative team member of the Imaging Department. This position is responsible for accurately scheduling a variety of radiology procedures-including X-ray, CT, MRI, Mammography, Ultrasound, Nuclear Medicine, and Interventional services-while ensuring optimal patient experience, timely communication, and efficient departmental workflow. The Scheduler acts as the primary liaison between patients, physicians, technologists, and other hospital departments to coordinate imaging appointments and provide exceptional service.
Essential Functions
Schedule all outpatient, inpatient, and emergency radiology procedures in coordination with physicians' orders, modality protocols, and departmental availability.
Verify that orders are complete and appropriate for the scheduled procedure; ensure required pre-authorizations and documentation are obtained prior to appointments.
Communicate clearly with patients regarding exam preparation, arrival times, required paperwork, and follow-up instructions.
Accurately enter and maintain patient appointments in the hospital scheduling and EMR systems.
Collaborate closely with technologists, nursing, and ancillary departments to optimize daily workflow and avoid scheduling conflicts.
Monitor modality schedules throughout the day to ensure timely updates, fill cancellations, and adjust for add-on or STAT exams as needed.
Respond promptly and professionally to incoming phone calls, emails, and faxed orders from physicians and patients.
Maintain confidentiality of patient information and adhere to HIPAA regulations at all times.
Demonstrate professionalism and courtesy when interacting with patients, families, providers, and coworkers.
Additional Responsibilities
Assist with daily schedule reconciliation and distribution to the Radiology team.
Support quality improvement initiatives aimed at enhancing patient access and satisfaction.
Participate in departmental meetings and training sessions to stay current with scheduling protocols and system updates.
Serve as a resource to patients and staff regarding exam requirements, insurance authorizations, and scheduling policies.
Perform other duties as required or assigned.
Minimum Qualifications
Education: High school diploma or GED required. Some college coursework or medical office training preferred.
Experience: Minimum 1-2 years of scheduling or medical office experience preferred. Prior radiology or hospital scheduling experience strongly preferred.
Training/Certifications: BLS preferred (may be required for specific departments). Training in EMR, PACS, or scheduling systems preferred.
Knowledge / Skills / Abilities
Strong knowledge of medical terminology and basic understanding of radiology procedures.
Proficient in computer systems, including EMR, scheduling software, and Microsoft Office.
Excellent communication skills, both verbal and written, with the ability to provide clear instructions to patients.
Strong organizational and multitasking abilities with attention to accuracy and detail.
Ability to prioritize tasks and work effectively in a fast-paced environment with frequent interruptions.
Demonstrated commitment to teamwork, service excellence, and maintaining confidentiality.
Ability to interact effectively with patients of all ages and diverse backgrounds.
Environmental & Physical Requirements
Frequent interaction with patients, families, and staff in person and via phone.
Work performed primarily in an office and/or scheduling environment.
Must be able to sit for extended periods, use a computer and phone extensively, and occasionally assist with patient wayfinding.
