Summary & Contractor Scope Services
ReadUP is a tutoring program that helps third grade students improve their reading and writing skills. Tutors are volunteers who dedicate one hour of their time per week to read one-on-one with two students for thirty minutes each. ReadUP sessions take place three days a week at various schools throughout Central Indiana.
The ReadUP Coordinator – Administrative and Volunteer Support plays a key role in strengthening program operations across all ReadUP sites by providing administrative support, volunteer engagement, and recruitment fulfillment during the contract term. Coordinating with the ReadUP Manager and site-based ReadUP Coordinators, this contractor provides volunteer registration, offers technical assistance to coordinators and volunteers, responds to volunteer inquiries, and helps execute recruitment strategies and outreach efforts. Unlike site-based coordinators, this contracted role not lead programming at a specific school but instead enhances consistency, efficiency, and volunteer support across the entire ReadUP network.
The Coordinator may occasionally provide on-site coverage or support site-based coordinators during absences or high-need periods.
Essential Duties & Responsibilities
Program Administration & Support
- Provide administrative support services that help ensure smooth program operations across all sites.
- Support site-based ReadUP Coordinators by helping manage volunteer registration and onboarding.
- Provide technical support to volunteers and coordinators as they navigate the online volunteer training course, volunteer registration system, and attendance/progress data tracking tools
- Communicate program needs and emerging issues to the ReadUP Manager
- Provide occasional on-site support or coverage at school locations when coordinators are unavailable.
Volunteer Support & Recruitment
- Respond to volunteer inquiries via email and phone, providing clear, timely information.
- Provide volunteer recruitment support, including:
- Coordinating with school teams and site coordinators to identify open volunteer needs
- Conducting outreach to community groups, businesses, and partners
- Attending community events to promote ReadUP and recruit volunteers
- Tracking recruitment progress and reporting outcomes
Relationship Management
- Build and maintain positive relationships with site-based coordinators, school staff, and community partners to support volunteer recruitment and program operations.
- Communicate program updates, successes, and needs to the ReadUP Manager.
- Represent ReadUP professionally at community events, volunteer fairs, and partner meetings.
Data Management & Reporting
- Support the collection and organization of volunteer data, including registration, attendance, and communication logs.
- Assist with program surveys and documentation required for evaluation.
- Ensure timely and accurate data entry to support program monitoring and improvement.
Program Quality & Continuous Improvement
- Collaborate with the ReadUP Manager and coordinators to identify operational challenges and recommend improvements.
- Complete program orientation or training reasonably necessary to perform contracted services.
- Help maintain consistency in program implementation by supporting coordinators with resources, communication templates, and best practices.

Qualifications
Contractor qualifications include:
- Strong interest in education, specifically in helping community volunteers engage with young children to practice reading skills
- Desire to learn about how effective teaching and learning can impact student success
- Computer proficiency, including the ability to learn and use data management platform to track student and volunteer data. Ability to communicate via email.
- Excellent organizational and administrative skills.
- Ability to collaborate effectively with various stakeholders, including coordinators, school partners, and volunteers.
- Fluency in English and excellent oral and written communication skills.
- Positive character attributes including trustworthiness, dependability, responsibility, flexibility, motivation, and professional demeanor
- Availability to provide services during the August – May contract term, subject to the terms of the independent contractor agreement
Education and/or Experience
- Bachelor’s degree in education, Communications, Nonprofit Management, or related field preferred.
- Experience in volunteer management, community engagement, or administrative support strongly preferred.
- Classroom or literacy experience is helpful but not required for this administrative-focused contract position.
Contractor abilities must include:
- Ability to read, analyze, and interpret general program materials
- Ability to write general business correspondence
- Ability to respond to inquiries or complaints from volunteers or members of the school community
- Ability to effectively present information and respond to questions from management, school staff, volunteers, peers, and the general public

- Computer proficiency
- Ability to travel locally for meetings, events, and occasional school-site support.
Certificates, Licenses, Registrations:
Valid driver’s license and state mandated automobile insurance required.
Physical Demands:
While performing the duties of the contracted services, the contractor is regularly required to talk or hear. Services may include transporting program materials and occasional lifting.
Work Environment:
The noise level in the work environment is usually moderate.
Nothing in this Scope of Services is intended to create an employment relationship. Services will be performed pursuant to the terms of the Independent Contractor Agreement.
