Legal Support Specialist – Real Estate
Location: Houston, TX | Hybrid

A well-established professional services organization is seeking a Legal Support Specialist to support a team of attorneys within its Real Estate practice group.
The ideal candidate thrives in a fast-paced, deadline-driven environment and brings strong problem-solving, decision-making, organizational, and communication skills. This individual should be proactive, adaptable, detail-oriented, and comfortable managing multiple priorities while maintaining a high level of professionalism and client service.
This position is based in Houston, Texas, with an onsite schedule and the option to work remotely one day per week.

Position Summary
The Legal Support Specialist provides high-level legal and administrative support to a team of attorneys, performing a broad range of complex technical, document processing, and administrative functions within the assigned practice group.
The successful candidate will manage and coordinate a variety of professional responsibilities for assigned attorneys, including significant interaction with clients and other external contacts. The role requires professionalism, technical proficiency, strong organizational skills, and the ability to manage competing priorities efficiently and accurately.
Flexibility to work overtime as needed is required.
Key Responsibilities
Coordinate the creation, editing, proofreading, processing, and finalization of legal documents, including correspondence, memoranda, closing documents, pleadings, and other practice-specific materials.
Maintain paper and electronic legal files and organize documents according to established procedures.
Update case and matter information and scan, organize, and maintain legal files.
Coordinate document deliveries and track final executed documentation.
Receive and evaluate telephone calls for supported attorneys, fielding calls and conveying messages as appropriate.
Communicate professionally with clients, opposing counsel, courts, and other external contacts.
Collaborate with administrative support professionals, paralegals, and other legal support team members.
Participate in team meetings and strategy discussions.
Identify and utilize appropriate internal resources to achieve efficient and effective results.
Assist with overflow work, special projects, and other duties as assigned.

Qualifications
Skills & Competencies
Experience handling administrative responsibilities such as attorney time entry, travel arrangements, invoices, and expense processing.
Exceptional attention to detail and strong organizational and time-management skills.
Excellent written and verbal communication skills with a professional demeanor.
Ability to work effectively and collaboratively as part of a team.
Ability to recognize and appropriately safeguard confidential, sensitive, and proprietary information.
Ability to work effectively under pressure and meet strict deadlines.
Strong initiative, adaptability, and problem-solving skills.
Education & Prior Experience
Bachelor’s degree or equivalent experience preferred.
Minimum of 10 years of experience in a law firm or other professional services environment.
Knowledge of applicable laws, legal codes, court procedures, or agency rules relevant to the assigned practice area.
Experience with state and federal court filings, including electronic filing, is preferred.

Technology
Proficiency with Microsoft Office applications, including Word, PowerPoint, Excel, and Outlook.
Experience with document management systems and other office technologies.
Experience with electronic filing systems.
Understanding of AI capabilities, limitations, and responsible use in a professional environment.
Familiarity with, or willingness to learn, employer-approved AI tools such as Copilot, ChatGPT, or similar platforms to support workflow and improve work product.
