Real Estate Licensing & Brokerage Operations Specialist to support licensing and compliance operations for a large, multi-state real estate organization. This role is ideal for a professional with extensive experience managing brokerage and individual licensing activities, navigating state regulatory requirements, and partnering with cross-functional stakeholders to ensure licensing compliance across multiple jurisdictions. The successful candidate will thrive in a fast-paced, collaborative environment while delivering exceptional service, maintaining operational excellence, and supporting business-critical licensing initiatives.
Must-Have Skills- 5+ years of experience supporting real estate brokerage licensing, licensing operations, or regulatory compliance within a large, multi-state real estate organization.
- Strong working knowledge of real estate brokerage licensing regulations applicable to both individual licensees and brokerage/entity licensing across multiple U.S. states.
- Hands-on experience managing the complete license lifecycle, including new applications, renewals, amendments, reciprocal licenses, designated broker changes, entity maintenance, and license surrenders.
- Experience interpreting state-specific licensing requirements and working directly with state real estate commissions and regulatory agencies.
- Knowledge of continuing education (CE) requirements, renewal schedules, and ongoing license compliance.
- Strong analytical, research, and problem-solving skills with the ability to interpret regulatory requirements and resolve licensing issues.
- Demonstrated experience handling highly confidential legal, financial, and personal information with discretion and professionalism.
- Experience maintaining electronic licensing records and documentation using licensing management systems, along with proficiency in Microsoft Office and Google Workspace.
Desired Skills- Experience supporting licensing operations for a large national or multi-state real estate brokerage.
- Familiarity with Airtable, DocuSign, or similar licensing, workflow, and compliance management platforms.
- Experience coordinating designated broker, broker-of-record, or responsible broker changes across multiple jurisdictions.
- Understanding of Canadian real estate licensing or cross-border brokerage licensing requirements.
- Experience identifying process improvement opportunities within licensing, compliance, or brokerage operations.
- Exposure to legal operations, corporate compliance, or regulatory operations supporting enterprise-scale organizations.
Key Responsibilities- Manage brokerage and individual real estate licensing activities across multiple states while ensuring compliance with applicable regulatory requirements.
- Research, interpret, and apply state-specific licensing regulations, filing requirements, and regulatory updates.
- Coordinate new license applications, reciprocal licenses, amendments, renewals, designated broker changes, entity updates, and license surrender filings.
- Maintain accurate licensing records, compliance documentation, and electronic files within internal licensing management systems.
- Monitor license renewals, continuing education requirements, and compliance deadlines to ensure timely completion.
- Partner with state real estate commissions, regulatory agencies, designated brokers, and internal business partners to resolve licensing matters and maintain regulatory compliance.
- Perform license verification, reconcile licensing records, prepare compliance reports, and escalate discrepancies or compliance risks when appropriate.
- Support onboarding and ongoing licensing activities by coordinating documentation, agreements, and required regulatory filings.
- Contribute to continuous improvement initiatives that enhance licensing operations, reporting, compliance tracking, and operational efficiency.
- Deliver a high level of customer service while collaborating effectively with cross-functional teams in a dynamic, fast-paced environment.
