Job Description

Overview:

The Real Estate Specialist performs a variety of functions including identifying, previewing, and securing properties for residential, commercial, and day program use; negotiating and administering lease agreements; coordinating activities related to purchases; communicating appropriate information to myriad constituencies; and collaborating with program and facilities staff to negotiate and coordinate repair, maintenance, and lease-related responsibilities with property owners.

Responsibilities:
The essential job functions/responsibilities of the position include but are not limited to the information listed below:
 
Site Acquisition:
  • Develop and maintain a network of landlords, property management companies, real estate brokers, investors, and company personnel to assist with identifying and securing residential and commercial properties suitable for Vinfen programs within budgetary parameters.
  • Coordinate appointments for program preview and department site feasibility.
  • Assist Facilities staff in coordinating all necessary inspections.
  • Assist Facilities and program staff in developing punch list of build-out requirements; communicate and negotiate said requirements to/with owner.
  • Negotiate lease or sale terms, consulting with attorneys and Vinfen management as necessary; review and process all necessary documents regarding purchase or lease of an identified property.

Lease Management:

  • Maintain property and lease documentation.
  • Notify appropriate personnel of upcoming pertinent lease events (i.e... lease expirations, extension notices, etc.) and coordinate related activities.
  • Maintain accurate and up-to-date information in Real Estate Management (REM) database.
  • In cooperation with Facilities and program staff, determine repair and maintenance responsibilities.
  • Negotiate and resolve landlord/tenant disputes, interfacing with program management, landlords, and outside counsel as appropriate.
  • Provide Accounts Payable and the Purchasing Department wit documentation regarding startups, changes, and contractual amendments.
  • Provide insurance carriers with property updates (i.e... lease commencements, vacancies, terminations etc.).
  • Process Accounts Payable Vouchers for lease-related expenses.

Reporting:

  • Establish, maintain and promote positive communication and coordination with all constituencies.
  • Develop effective systems for collecting, organizing, analyzing and presenting information on leased and owned properties.

Planning:

  • Work collaboratively with divisional Vice-Presidents, Directors of Service, Operations Administrators, and Program Management to develop real estate operating budgets and plan future real estate needs.
  • Provide specific, current market information to Vinfen personnel as required for corporate purchases, lease negotiations, proposal documentation and other strategic initiatives.
  • Perform other duties, as assigned.

Knowledge and Skills:
• Knowledge of real estate market and regulatory requirements
• Familiarity with purchase and sale process and related documents
• Experience with commercial and residential lease processes and documents
• Knowledge of property management practices
• Well developed organizational, analytical, presentation, and communication skills
• Ability to negotiate and problem solve
• Knowledge of Vinfen‘s operational and clinical property requirements
• Demonstrable passion for Vinfen’s mission
• Experience with computer applications (Excel, Power Point, Word) and equipment
• Sensitivity to cultural, religious, racial, disability, and gender issues
• Ability to manage many competing priorities
• Ability (and desire) to work in a dynamic, team-oriented, service driven environment
• Ability to work in a professional and confidential capacity

Qualifications:

Typical Requirements:
Five to seven years’ experience in real estate and property administration on a corporate level. In some instances, experience may be substituted for academic training.


Preferred /Required Education:
High school diploma or equivalent required; Bachelor’s degree preferred.


Driving Requirements:
Driving a Vinfen owned/leased vehicle or Vinfen clients is not required.

Physical Effort:
Ability to lift at least 25 pounds using proper lifting techniques.

Ability to operate a computer and other office equipment such as a calculator, copier, and printer.

Ability to remain in a stationary position 50% of the time as needed.

Ability to bend, reach, file, sit,stand and move around the facility.

Ability to speak, hear and communicate with personsserved,staff and external representatives.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth
perception, and ability to adjust focus.
