Transaction Coordinator
JOB SUMMARY:
The Transaction Coordinator (TC) supports agents, buyers, and sellers from pre-contract through post-closing. This role ensures transactions move smoothly, deadlines are met, documentation is accurate, and communication is consistent. The TC oversees file organization, contract compliance, and coordination between all parties-agents, clients, lenders, title/attorneys, and vendors-to deliver a professional, stress-free experience.
ESSENTIAL FUNCTIONS:
Buyer Transaction Management
- Transition buyers into the closing system, confirm necessary documents, and prepare files.
- Review the Agreement of Sale and verify required signatures, initials, and dates.
- Track key deadlines (deposits, inspections, contingencies, closing) and send timelines to clients and agents.
- Facilitate communication with lenders, title/attorneys, and listing agents.
- Coordinate earnest money, inspections, appraisal, loan status, and contract addenda.
- Maintain proactive communication, provide insurance and utility guidance, and support contingency removals.
- Review settlement statements, organize final closing details, and ensure all required documentation is completed.
- Manage post-closing tasks: upload signed documents, confirm brokerage compliance, and request reviews.
Seller Transaction Management
- Support pre-listing preparation, including review of disclosures and coordination with marketing.
- Organize executed contracts, introduce parties, and confirm earnest money receipt.
- Open title/escrow, verify key contract terms, and distribute a transaction timeline.
- Coordinate with title/escrow on payoffs, certifications, HOA documents, and municipal requirements.
- Track appraisal, repairs, concessions, and ensure all forms and disclosures are completed.
- Prepare closing details: confirm settlement statement review, schedule walkthrough/closing, and provide utility instructions.
- Facilitate closing-day documentation and provide agents with final confirmations.
- Complete post-closing tasks, ensure file compliance, archive records, and send client acknowledgments.
QUALIFICATIONS:
- Experience in real estate transaction coordination or a closely related role is required
- Highly organized with strong attention to detail and the ability to manage multiple deadlines and transactions at once
- Strong communication skills, with a professional and approachable style when working with agents, clients, and partners
- Comfortable using technology and able to learn new systems quickly in a fast-paced environment
- Ability to review documents for accuracy and keep transactions on track from contract to close
- Familiarity with real estate contracts, the closing process, and brokerage compliance is strongly preferred
Please Note: This is a full-time, in-office position located in either our New Hope or Allentown office.
