Receiving Staff / Warehouse Worker
 
Position Overview
The Receiving Staff/Warehouse Worker position is responsible for the accurate intake, inspection, documentation, storage, and communication of all inbound and returned materials supporting trade show and event operations. This role serves as the first quality control checkpoint for new shipments and the final accountability point for materials returning from live events.
 
This position plays a critical role in protecting client-owned assets, maintaining inventory accuracy, and ensuring full visibility to Account Management and internal teams.
 
Key Responsibilities
Inbound Receiving — New Materials
  • Check the receiving log to determine if incoming materials were logged.
  • Receive deliveries and verify carrier documentation (Bill of Lading, packing slip, tracking).
  • Inspect pallets and cartons for visible damage.
  • Verify quantities, item descriptions, and piece counts against shipping paperwork.
  • Identify and document shortages, overages, or damage before materials leave Receiving.
  • Photograph damaged items and maintain proper documentation.
  • Notify the receiving inbox and account management team via the appropriate group email with all required receiving details.
  • Label and move materials to designated storage locations once authorized to proceed.
  • Ensure Receiving Log entries are complete and accurate.
  • Coordinate with the Account Management team and inventory specialist for system updates on all regional materials.
 
Event Return Check-In
  • Confirm client name and job number on returned shipments.
  • Retrieve outbound manifest and reconcile all materials.
  • Document quantities returned and notate condition (OK, Missing, Damaged, Dirty).
  • Photograph discrepancies and report issues promptly.
  • Distribute completed Check-In reports to Account Management.
  • For returns containing lightboxes and fabric displays, fully set up the display and document its condition as working or damaged, following the process outlined in the Regional Department Knowledge Hub.
  • If the display is confirmed in working condition, apply a fluorescent pink identification sticker with the required information.
  • Monitor partial returns and coordinate follow-up on outstanding materials with account managers.
  • Label and stage damaged items pending direction from Account Management and/or Project Management teams.
  • Ensure returned orders are checked in and stored within 48 hours of receipt. If an exception is needed, communicate the reason to the Regional Supervisor before the deadline passes.
  • If designated storage space is unavailable, stage materials in the receiving overflow area until the appropriate regional storage location becomes available.
 
Documentation & Communication
  • Send detailed receiving and check-in emails including: box counts and tracking numbers, item descriptions and quantities, storage locations, and photo documentation.
  • Escalate discrepancies, unclear shipments, or missing information immediately.
  • Serve as a communication control point when upstream communication is complete.
Operational Standards
  • Maintain clean, organized receiving and storage areas.
  • Handle client materials with care to minimize damage.
  • Follow all warehouse safety procedures.
Cross-Training — Fulfillment
This role includes cross-training with the Regional Fulfillment Staff. As business needs arise, you may be called upon to assist with or temporarily fill in for Fulfillment responsibilities. Cross-training ensures operational continuity and makes our team more resilient during high-volume periods or staff absences. Fulfillment duties may include:
  • Pulling and preparing inventory items per production orders.
  • Supporting quality control (QC) checks prior to shipment.
  • Packing and staging completed orders for carrier pickup.
  • Completing outbound documentation including item lists, box counts, and photo requirements.
Workplace Standards & Expectations
The following standards apply to all employees within the Regional Department and are considered a required extension of each employee's role. Adherence to these standards is expected at all times and non-compliance will be addressed as a performance matter.
Communication Standards
Employees are expected to read and act upon emails sent to them in a timely manner. Emails from account managers, supervisors, or management that provide task direction or order-related information are considered work instructions and must be followed accordingly.
If an email contains instructions that are unclear or conflict with protocol outlined by the department manager, the employee is expected to seek clarification from their direct supervisor — not ignore the email.
Flexibility & Additional Tasks
Our client is a small company in which all employees are expected to be flexible and contribute to the overall success of the team. Reasonable tasks outside of the core job description may be assigned from time to time by the supervisor or department manager. Employees are expected to carry out reasonable assigned tasks in good faith. If there is a genuine concern about an assigned task, the appropriate step is to raise it directly with the direct supervisor through the proper chain of command.
