Job Title: Receptionist / Administrative Assistant

Position Overview:

This position is benefit-eligible for employees who elect coverage and may work up to 30 hours per week based on business needs.

The minimum required schedule for this position is:
  • Tuesday - Thursday: 12:30 p.m. - 5:00 p.m.
  • Friday: 8:00 a.m. - 5:00 p.m.
Candidates must, at a minimum, be available to work the schedule listed above. Additional hours may be offered as needed.

Job Summary:
The Receptionist / Administrative Assistant serves as the first point of contact for the company, managing a multi-line phone system, greeting visitors, and ensuring smooth front desk operations. This role also provides administrative support to the Accounting department and assists with general office coordination and clerical tasks.

Key Responsibilities:

Reception / Front Desk Duties (Primary):
  • Answer incoming calls, determine purpose, and route to appropriate staff
  • Retrieve and forward voicemail messages
  • Maintain and update the employee phone extension list
  • Take and relay messages or transfer to voicemail when staff are unavailable
  • Provide general information to callers (e.g., address, directions)
  • Greet visitors and notify relevant staff of their arrival
Office & Administrative Support:
  • Receive, sort, and distribute mail and packages
  • Maintain the postage machine and manage outgoing mail
  • Order and maintain office supply inventory
  • Distribute incoming faxes and create/send basic documents and memos
  • Assist with scheduling, data entry, filing, and document organization
  • Support various departments with administrative tasks and special projects as needed
Accounting Support:
  • Assist with mailing Accounts Receivable statements
  • Help prepare daily deposits
  • Type lien waivers and related documents
  • Assist with Accounts Payable and Payroll check runs (e.g., stuffing envelopes)
  • Perform other clerical and administrative duties as assigned
Qualifications:
  • Education: High school diploma or GED required
  • Experience: Previous experience in receptionist, administrative assistant, or office support role preferred
Computer Skills:
  • Proficiency with Microsoft Word, Excel, and Outlook
