Responsibilities:

Sabre Systems, LLC is seeking a professional, detail-oriented, and customer-focused Receptionist/Administrative Assistant to join our team. The ideal candidate will have a proven track record of delivering exceptional customer service, managing multiple priorities, and collaborating effectively with diverse teams. As the first point of contact for visitors, clients, and employees, the Receptionist will play a key role in creating a welcoming and professional environment. This position requires excellent communication skills, strong organizational abilities, and a commitment to confidentiality and customer service.

 

In addition to serving as the face of the organization, the Receptionist will be responsible for a variety of administrative and office management tasks, supporting upper management and working closely with multiple departments to ensure smooth day-to-day operations.

 

  • Answers incoming phone calls and retrieves voicemails, ensuring that callers are directed to the appropriate departments or individuals as needed
  • Welcome Guests, ensuring visitor control procedures are followed
  • Prepares and maintains coffee in the main kitchen daily
  • Restocks kitchen items daily and maintain cleanliness of both kitchens; cleans fridges weekly, removes items from sinks, and wipes counters
  • Orders routine office supplies from Staples, Amazon, or Quench, as needed and no less than monthly
  • Organizes storage closet and kitchen supplies
  • Schedules meetings and maintains conference room calendars
  • Provides support for all meetings, including making coffee, supplying water, and ensuring post-event cleanup. Coordinates lunch arrangements upon request
  • Conducts daily inspections of printers and maintains the cleanliness and organization of conference rooms to ensure a professional, secure environment
  • Sends FedEx or USPS packages on behalf of government clients and all departments
  • Checks for and distributes mail daily
  • Enters purchase requisitions for all departments, including those purchases classified as facility purchases
  • Coordinates travel arrangements for interviewees and new employees
  • Maintains and reconciles our Ramp Credit Card System
  • Coordinates event registrations and annual renewals for leadership, and others as needed
  • Assists with planning, coordinating, and executing employee engagement events
  • Maintains and updates processes for timesheet administration, purchase requisitions for facilities, and the ordering of supplies
  • Generates timesheet reports for payroll and distributes emails regarding outstanding and incomplete timesheets
  • Maintains and manages bi-weekly report on direct and business operations

 

 

Qualifications:

Education:

  • High school diploma or equivalent required; associate degree or higher preferred

Experience:

  • Minimum of 2 years of experience in a receptionist, administrative, or customer service role
  • Experience in a government contracting environment is a plus

Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Ability to provide outstanding customer service to internal and external clients
  • Experience with scheduling appointments and maintaining/updating appointment calendars
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Professional demeanor and appearance
  • Self-motivated with the ability to work independently, demonstrating flexibility, accountability, and initiative

Additional Requirements:

  • Ability to obtain and maintain a DoD Secret Clearance (if required).
  • Must be a U.S. Citizen.
