We are seeking a professional and highly organized Legal Receptionist to be the welcoming face and voice at our office. In this pivotal role, you will ensure smooth office operations by managing receptionist responsibilities, supporting administrative functions, and maintaining client confidentiality. If you thrive in a professional business environment, possess strong technical acumen, and can provide elevated concierge style customer service we invite you to join the our dynamic team. This role is 5 days a week onsite. Not eligible for hybrid or remote work.

Essential Job Responsibilities

Reception Services

  • Monitor reception desk, greet and route guests to appropriate locations, answer, and route internal and external calls

  • Create temp badges and vendor access passes, validate parking, make car reservations, maintain beverage stations, and maintain office phone list

  • Communicate medical emergencies and building security information to appropriate parties

  • Enter guests in the visitor management system

  • Data entry

  • Additional Admin duties as needed


Concierge Services -Support Firm professionals with responsibilities including but not limited to:

  • Binder or transcript production

  • Coordination of Print/Scan/Copy jobs

  • Production of Print/Scan/Copy jobs

  • Distribution of Print/Scan/Copy jobs

  • Fax communications

  • Incoming USPS and accountable mail distribution

  • Incoming and Outgoing mail processing

  • Light editing of documents

  • Ordering and stocking office supplies

  • Developing and maintaining supply par levels

  • Additional duties as requested


Conference Services

  • Ensure all conference room furniture and fixtures are properly secured, maintained, and stored

  • Adhere to daily reports for conference room set-ups and attend daily events meetings to review set-up requirements

  • Set-up and breakdown conference rooms as assigned by the Firm

  • Conference room equipment (chairs, whiteboards, easels, etc.) set-up and removal

  • Handle food/snack delivery and set-up, restock pantries and break rooms

  • Daily stocking of conference room office supplies

  • Daily stocking of kitchen and pantry areas

  • Daily clean-up and organization of conference rooms and kitchens

 

Qualifications & Requirements

  • High School Diploma or GED

  • Minimum of 3 years work experience as a Receptionist, preferably in a legal environment

  • Previous experience in a client service field preferred

  • Ability to multitask with attention to detail

  • Ability to handle complaints with professionalism, patience, and diplomacy

  • Working knowledge of MS Word, Excel and Outlook

  • Strong technical acumen to utilize conference room management software

  • Ability to lift or move 40 lbs. or greater

  • Ability to grasp, lift or carry packages on a standard wheeled cart with a load capacity of 75 lbs.

  • Ability to walk, bend, kneel, stand or sit for an extended period of time​

The Compensation range for this role is up to 30.00 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
