Job Summary:
The Receptionist fulfills the mission of the church by assisting the Pastor to foster a sense of community. This position serves as the face of the parish by presenting a friendly face to the public and parishioners, and a pleasant, patient demeanor on the telephone. The Receptionist assists the staff with scheduling meetings/events and other administrative tasks as assigned. This position reports to and is evaluated by the Pastor and Parish Administrator.
Ministerial Character
Catholic churches and schools in the Diocese of Austin are canonically obedient to the Bishop and assist him in fulfilling his ministry and canonical obligations. Pastors, presidents, and principals serve as leaders of the churches and schools to make Christ's mission present and enduring in the schools. To fulfill Christ's mission, the church and school leaders employ suitable, chosen collaborators, sharing with them Christ's mission and entrusting to them various responsibilities.
Positions employed in this Church and School help extend the ministry of the Church and School leaders in particular ways as outlined in the job description. The employee in this position is closely connected to and assists the Church and School leaders in the performance of their ministry and, therefore, engages in ministry for the Church.
Essential Job Duties:
- Act as a witness to Gospel values by modeling the teachings of the Catholic Church.
- Support and adhere to the Code of Conduct and policies and procedures of the church and Diocese.
- Maintain confidentiality regarding church matters.
- Answer incoming phone lines, screen calls and respond to inquiries or transfer to the proper staff member or voice mail, as needed.
- Monitor campus entries and exits; let guests into campus, screen guests and issue temporary credentials.
- Act as backup receptionist to school receptionist as needed.
- Manage incoming and outgoing mail/deliveries.
- Reserve rooms; approve reservations entered by staff members.
- Schedule Mass intentions for parishioners and staff.
- Initiate processing of donations and checks received at the front desk.
- Generate room setup schedules for the Facilities department.
- Assist Social Justice Ministries with paperwork and Thursday Outreach duties.
- Act as a backup for Support for Sunday hospitality for morning masses
- Participate in parish staff meetings.
- Is ready and willing to carry out tasks assigned by the Pastor or Parish Administrator.
- Other duties as assigned.
Knowledge, Skills and Abilities
- Knowledge of the basic teachings of the Catholic Church
- Ability to communicate effectively in both written and verbal form
- Ability to work well with others in the church community
- Ability to manage a multi-line phone system
- Skill in handling multiple tasks simultaneously
- Skill in organizing and relating information in an understandable format
- Computer software skills, including but not limited to database entry, Windows, Microsoft Office, Excel and Internet navigation
- Skill in critical thinking and planning
Minimum Qualifications:
Education and Trainings:
- High School Diploma or GED acceptable to Texas Education Agency.
Experience:
- 3-5 years' experience as a receptionist; preferred
Language:
- English (proficient in conversing, reading, and writing)
- Spanish (proficient in conversing, reading, and writing). Preferred but not required.
Licenses/Certifications:
- Valid Texas driver's license.
- Must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry (EIM) policies throughout the employment period.
Working Conditions:
- All employees of the Parish are engaged in ministry and closely tied to the Pastor in the exercise of his ministry and obligations to the church.
- The Parish is an at-will employer.
- All buildings and vehicles owned by the Parish are tobacco free.
- Working in a fast-paced environment with priorities and plans that may change rapidly.
- Working on weekends, evenings, and some holidays may be required.
- Will be exposed to religious ceremonies, conduct, and speech, including Roman Catholic Christian prayer and liturgical celebrations.
- Will be required to adhere to established dress codes and conduct standards.
