Ashtel Studios is seeking a friendly, organized, and proactive Receptionist to serve as the first point of contact for visitors, vendors, and employees. This role is responsible for maintaining a professional front office, coordinating daily administrative tasks, and supporting multiple departments with office operations. The ideal candidate is highly organized, enjoys interacting with people, and thrives in a fast-paced environment.



Job Responsibilities


·         Greet visitors, vendors, and delivery personnel while creating a welcoming and professional office environment.
·         Answer and direct incoming phone calls with professionalism and efficiency.
·         Manage conference room scheduling and assist with meeting coordination.
·         Receive and distribute incoming mail and packages (approximately 3–5 inbound shipments per day).
·         Prepare and coordinate outbound shipments for Sales, Marketing, Production, and Design teams (approximately 5–10 shipments per day).
·         Maintain accurate records of incoming and outgoing sample inventory.
·         Keep the reception area, conference rooms, kitchen, and shared spaces clean, organized, and presentation-ready.
·         Order and maintain office, kitchen, and general business supplies while monitoring inventory levels.
·         Assist with data entry and general administrative support for Sales, E-Commerce, QA, and other departments.
·         Run occasional business errands and assist with special projects as needed.
·         Support day-to-day office operations to ensure a productive and organized workplace.

Qualifications


·         Previous experience in reception, office administration, or administrative support role preferred.
·         Bilingual skills are preferred.
·         Proficiency in Microsoft Office (Excel, Word, Outlook, etc.).
·         Strong organizational and multitasking skills.
·         Excellent verbal and written communication skills.
·         Professional, friendly, and customer-focused demeanor.
·         High attention to detail and strong follow-through.
·         Ability to prioritize responsibilities in a fast-paced environment.
·         Self-motivated with a proactive, team-first attitude.
