Position Summary

The Receptionist / Dispatcher serves as the communication hub for our restoration operations. This role is responsible for answering incoming calls, entering new losses, coordinating schedules, dispatching crews, and ensuring every customer receives prompt, compassionate, and professional service.

Success in this role requires exceptional communication skills, strong organizational abilities, attention to detail, and the ability to remain calm under pressure while managing multiple priorities.


Key Responsibilities

Customer Service

  • Answer incoming calls promptly and professionally.
  • Create a positive first impression for every customer.
  • Gather First Notice of Loss (FNOL) information accurately and completely.
  • Respond to customer questions and provide updates throughout the restoration process.
  • Welcome visitors and maintain a professional office environment.
Dispatch & Scheduling

  • Dispatch restoration crews and assign new losses efficiently.
  • Coordinate daily production schedules to maximize crew utilization.
  • Assist with on-call scheduling and after-hours coordination.
  • Monitor job progress and communicate schedule changes as needed.
  • Ensure urgent jobs receive immediate attention.
Job Management

  • Enter leads and job referrals accurately into company software.
  • Review and monitor the Work in Progress (WIP) board throughout the day.
  • Identify scheduling conflicts or production bottlenecks and communicate them to management.
  • Coordinate with production staff to ensure jobs move smoothly from initial call through completion.
  • Maintain accurate customer and job documentation.
Administrative Support

  • Perform general administrative and clerical duties.
  • Assist various departments with administrative tasks as needed.
  • Maintain organized records and documentation.
  • Support office operations to ensure efficient daily workflow.
  • Complete other duties as assigned.

Qualifications

Required

  • High school diploma or equivalent.
  • Previous experience in a receptionist, dispatcher, customer service, or administrative role.
  • Outstanding customer service and communication skills.
  • Strong organizational and time management abilities.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Excellent attention to detail.
  • Proficiency with Microsoft Office and other computer software.
  • Ability to learn company software and technology quickly.
Preferred

  • Experience in the restoration, construction, insurance, or service industry.
  • Previous dispatching or scheduling experience.
  • Knowledge of customer relationship management (CRM) or job management software.

Work Schedule

This is a full-time salaried position.

Typical work hours are Monday through Friday between 7:00 AM and 4:30 PM, with an eight-hour workday. Scheduling may vary based on business needs, and occasional extended hours may be required during periods of high call volume, emergency response, or catastrophic events.

Compensation: $35,000.00 - $36,000.00 per year
