The Receptionist serves as the first point of contact for visitors, candidates, customers, patients, vendors, and business partners while providing administrative support across the organization. This position plays a key role in creating a positive first impression and ensuring the office operates efficiently in a collaborative, fast-paced medical device environment and manages the front desk while providing administrative support across multiple departments.
· Professionally greet visitors and create a professional first impression.
· Answer, screen, and route incoming phone calls.
· Manage visitor sign-in, badges and employee notifications.
· Receive, sort, and distribute incoming mail and packages.
· Prepare outgoing shipments (FedEx, UPS, USPS).
· Coordinate and maintain reception, conference rooms and common areas.
· Order and maintain office, kitchen, and breakroom supplies.
· Provide administrative support including filing, scanning, document preparation, spreadsheet updates, and data entry.
· Assist Human Resources with interview scheduling, onboarding logistics, and visitor coordination.
· Coordinate catering and logistics for meetings and employee events.
· Support onboarding activities and other special projects.
· Maintain confidentiality of employee and company information.
· Support special projects and other administrative duties as assigned.

· High school diploma or equivalent required; Associate degree preferred
· Five or more years of receptionist or administrative experience preferred.
· Strong Microsoft Office skills (Outlook, Word, Excel, PowerPoint, Teams).
· Excellent customer service and communication skills.

· Ability to manage multiple priorities independently.
· Professionalism, discretion, and sound judgment.
· Experience in healthcare, manufacturing, or medical device industry preferred.
· Ability to sit or stand for extended periods.

· Maintain timely and accurate handling of incoming calls and visitors.
