POSITION REPORTS TO: (SPECIALIST – ADMINISTRATIVE SERVICES) SENIOR ADMINISTRATIVE ASSISTANT

  • Greets all incoming visitors and employees, answers and directs telephone calls, takes and distributes telephone messages via phone and voicemail (when applicable).
  • Generates/assembles meeting packets, letters and other documentation as requested.
  • Assists in the maintenance of the office record and filing system.
  • Directs incoming vendors with packages to the package delivery door.
  • Maintains current employee/project phone list information.
  • Posts monthly staff news to the company’s Intranet system.
  • Orders office supplies for all departments on weekly basis.
  • Schedules meetings, and maintains the Conference Room Schedulers email inbox.
  • Maintains a neat working environment in the reception and lobby areas.
  • Meets all standards established for this position as outlined in the attached performance criteria.
  • Performs other duties as may be assigned by Management.


  • High School diploma, GED, or equivalent certification
  • Solid written and interpersonal skills
  • Ability to interact courteously to a variety of people
  • Excellent organizational and verbal communication skills
  • Ability to perform comfortably in a fast-paced, deadline-oriented work environment
  • Ability to successfully execute many tasks simultaneously
  • Ability to work as a team member, as well as independently
  • Microsoft compatible computer skills
  • Knowledge in the use of general office equipment
