Receptionist Responsibilities
As the Receptionist, you will serve as the face of our facility while providing administrative support that helps ensure smooth daily operations.
Responsibilities include:
- Greet residents, families, visitors, vendors, and staff in a friendly and professional manner.
- Answer and direct incoming calls using a multi-line phone system while providing excellent customer service.
- Take and distribute accurate messages promptly.
- Provide clerical and administrative support, including typing, copying, faxing, filing, scanning, and laminating documents.
- Process incoming and outgoing mail and deliveries.
- Maintain organized office files and records.
- Monitor and replenish office supply inventory.
- Schedule and coordinate resident hair salon appointments and distribute weekly schedules.
- Prepare and distribute correspondence regarding resident care planning meetings.
- Update resident door signage as needed.
- Coordinate telephone system maintenance and voicemail setup.
- Maintain the facility meeting room calendar and assist with scheduling.
- Perform additional administrative duties as assigned.
Qualifications
- Minimum of one (1) year of receptionist, clerical, administrative, or customer service experience in a professional office environment.
- Previous healthcare, long-term care, or skilled nursing experience preferred, but not required.
- Proficiency with Microsoft Word, Excel, Outlook, and other standard office applications.
- Excellent verbal and written communication skills.
- Strong organizational, multitasking, and customer service abilities.
- Ability to maintain confidentiality and professionalism in a fast-paced healthcare environment.
