Description

Employment Status: Full-Time

Pay Range: $15.00 - $21.12

FLSA Status: Non-exempt

Experience Required: One (1) year of experience in customer service, receptionist, hospitality, administrative support, public relations, or a closely related field.

Minimum Education Requirements: High school diploma or equivalent (GED)

Direct Supervisor: Chief Administrative Officer

Supervisory Responsibility: No direct supervisory responsibilities.

Primary Work Location: City Hall/Conference Center

Physical requirements: Regularly required to sit or stand for extended periods. Walk throughout City Hall and Conference Center facilities. Communicate verbally with the public in person and by telephone. Operate computers, telephones, copiers, and other office equipment. Life, carry, or move materials weighing up to 25 pounds. Bend, stoop, reach, and occasionally climb stairs.

Certification: Valid driver’s license may be required depending on assignment. CPR/First Aid certification may be required or obtained after hire if designated by the City.


Job Summary: Under general supervision, performs a wide variety of customer service, administrative, clerical, and operational support functions for City Hall and the Glenpool Conference Center. Serves as the first point of contact for residents, visitors, vendors, and staff while providing exceptional customer service and assisting multiple departments with administrative projects, records management, conference center operations, public information, and day-to-day office support. This position requires initiative, professionalism, sound judgment, and the ability to manage multiple priorities while maintaining a welcoming and efficient environment for the public.


Essential Job Functions

The following duties are representative of the work performed. Employees may be required to perform additional duties as assigned.

  • Serves as the first point of contact for residents, visitors, vendors, contractors, staff, and Conference Center Clients.
  • Greet visitors in a courteous, professional, and welcoming manner.
  • Provides accurate information regarding City departments, services, programs, public meetings, and conference center events.
  • Directs visitors to appropriate offices, meeting rooms, or event locations.
  • Answers, screens, and routes incoming multi-line telephone calls.
  • Maintains reception desk and public lobby in a clean, organized, and professional appearance.
  • Maintains visitor logs and issues visitor identification badges when required.
  • Receives and sorts incoming mail, deliveries, and packages.
  • Enters requisitions in system for third floor Administrative Staff.
  • Assists with maintaining calendars and third floor conference room reservations.
  • Assists with inventory and ordering of office and hospitality supplies.
  • Provides general information regarding conference center policies, room locations, amenities, and schedules.
  • Creates and updates digital signage for Conference Center televisions to direct attendees to the appropriate meeting rooms, events, and facility locations.
  • Reports facility issues to appropriate maintenance or conference center personnel.
  • Other duties as assigned.
