Job Summary

The Receptionist serves as the first point of contact for visitors, customers, and incoming communications. This role is responsible for operating the main office telephone system, greeting visitors, directing calls and inquiries, and providing administrative and clerical support to ensure efficient office operations.

Essential Job Duties

  • Answer and direct incoming telephone calls using the company telephone system and/or sales board.

  • Greet visitors and notify the appropriate employee of their arrival.

  • Take accurate messages and ensure timely communication to the appropriate personnel.

  • Monitor and follow up with sales personnel regarding sales board or phone status as needed.

  • Sort incoming mail and distribute correspondence to appropriate departments and personnel.

  • Receive deliveries and correspondence from mail carriers and delivery services.

  • Perform general clerical duties including filing, scanning, indexing, copying, and data entry.

  • Print and organize invoices, manifests, packing lists, and related documentation.

  • Assist with entering information into company systems related to Accounts Payable processing.

  • Separate and distribute purchase orders and related documents to branch locations as needed.

  • Maintain organized office filing systems and records.

  • Support workflow coordination between departments through effective communication and administrative support.

  • Maintain confidentiality of sensitive company and customer information.

  • Provide professional customer service to internal and external contacts.

Non-Essential Job Duties

  • Assist with ordering office supplies as needed.

  • Support special administrative projects and assignments.

  • Provide backup support to office personnel when necessary.

  • Assist with general office organization and administrative tasks.

  • Perform additional duties as assigned to support business operations.

 

Required Skills:

Qualifications

  • High school diploma or equivalent required.

  • Prior receptionist, customer service, or administrative experience preferred.

  • Strong verbal and written communication skills.

  • Professional telephone and customer service etiquette.

  • Strong organizational and multitasking abilities.

  • Attention to detail and accuracy.

  • Ability to maintain confidentiality.

  • Basic computer and data entry skills.

  • Ability to work effectively in a fast-paced office environment.

 

Compensation Range: The anticipated compensation for this position is USD $25.00/Hr. - USD $25.00/Hr. depending on experience, qualifications, and location.
