JOB TITLE: Receptionist JOB STATUS: Non-exempt (hourly)
BASIC FUNCTION: Manages the front desk and other administrative needs to support daily office operations at the headquarters of a non-profit agency supporting adults with intellectual and developmental disabilities.
SCOPE: Greets visitors, answers and directs phone calls, schedules conference spaces, handles mail and deliveries, maintains stock of office supplies, and performs various administrative tasks. Provides exceptional customer service and promotes Glenkirk in a favorable manner.
JOB DUTIES
Welcomes visitors, determines their needs, and directs them to the appropriate person or offices.
Answers, screens, and forwards incoming phone calls to the appropriate recipients. Records detailed notes and delivers them promptly to the appropriate staff, as needed.
Receives, sorts, and distributes daily mail and packages.
Keeps the reception area tidy, tracks inventory, and orders office supplies.
Monitors visitor access.
Maintains each copy machine and supplies in each copy/mail room. Ensures each copy/mail room is tidy and well-organized.
Maintains all Glenkirk directory information.
Distributes key fobs, office keys, and assigns phones to new hires.
Performs data entry and filing duties, as assigned.
Coordinates aspects of committee, in-service, leadership, and Board of Director meetings (sends notices, handles hospitality aspects, reserves conference rooms, etc.).
Engages in light cleaning of kitchenettes, including weekly refrigerator clean-outs and maintains coffee/other hospitality supplies.
MINIMUM REQUIREMENTS
Education: High School diploma or proof of completion of GED.
Experience: Clear verbal and written communication skills for interacting with visitors and coworkers. Must possess a polite, professional, and welcoming demeanor. Ability to file, enter data, and handle multi-line phone systems. Must be able to multi-task and know how to prioritize. At least 1 year of experience as a receptionist or other work in customer service.
Knowledge: Proficiency in office software like the Microsoft Suites, Microsoft 365, Teams, and Zoom for meetings, internal communications, emails, documents, and spreadsheets, etc. Knowledge of standard office hardware including copy machines, postage meter machines, fax machines, etc.
Physical Requirements: Light maneuvering, lifting boxes and supplies, bending, light cleaning. Able to lift 20lbs.
