The Receptionist provides professional front desk coverage and ensures a welcoming experience for clients, visitors, vendors, and staff. This role is responsible for managing daily reception operations, coordinating meetings and office logistics, and supporting administrative and hospitality functions. The Receptionist plays a key role in creating a positive first impression and maintaining an organized and efficient office environment. This position reports directly to the Office Administrator.

Shift: Monday-Friday

Pay: $34-$36

Essential Job Functions

  • Greet and assist clients, visitors, vendors, and staff with professionalism and courtesy
  • Manage incoming calls and direct inquiries appropriately
  • Maintain a consistent in-person presence during core business hours

Primary Responsibilities

  • Maintain reception area, conference rooms, and shared spaces to ensure they are clean and presentable
  • Provide a high level of hospitality to create a positive experience for guests
  • Schedule and confirm visitor offices and conference room reservations, including room setup
  • Coordinate and order food and refreshments for meetings and events
  • Prepare and distribute a Daily Report with accuracy and timeliness
  • Serve as a resource for staff by answering questions or escalating issues when needed
  • Communicate maintenance needs promptly to the appropriate team
  • Assist with planning and executing office events
  • Support office operations including ordering supplies, snacks, and materials
  • Perform administrative tasks such as copying, scanning, filing, and faxing
  • Assist with special projects as assigned
  • Follow security and emergency procedures and respond appropriately to situations

Qualifications

  • Minimum of 2 years of experience in a similar role within a professional office environment
  • Ability to manage multiple priorities and meet deadlines independently
  • Strong communication, spelling, and grammar skills
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and related tools
  • Ability to handle sensitive information with discretion
  • Reliable, punctual, and proactive with a service-oriented mindset
  • High school diploma or equivalent required; additional education preferred #LI-MG1
