Receptionist / Patient Concierge

Location: Irvine, CA
Schedule: Full-Time | Monday-Friday | Generally 8:00 AM - 5:00 PM (some flexibility required)

We are looking for an energetic, outgoing, and customer-focused Receptionist / Patient Concierge to become the welcoming face of our Irvine clinic. This role is ideal for someone who thrives on interacting with people, enjoys staying active throughout the day, and takes pride in creating exceptional patient experiences.

What You'll Do

As the first point of contact for our patients, you will help create a warm, welcoming, and positive experience from the moment someone walks through our doors.

Patient Experience & Front Lobby Support

• Welcome patients, visitors, vendors, and guests with a friendly smile and professional demeanor.
• Serve as the primary in-person presence in the clinic lobby during business hours.
• Create a positive and inviting atmosphere for all patients and visitors.
• Answer patient questions and provide assistance as needed.

Patient Check-In Support

• Guide existing patients to self-service kiosks for check-in.
• Provide hands-on assistance to new patients during the registration and check-in process.
• Introduce new patients to our Remote Front Desk (RFD) team and help them become comfortable with our technology and processes.
• Collaborate with patients and the RFD team to ensure a smooth and successful check-in experience.
• Troubleshoot basic kiosk or patient check-in concerns and seek assistance when needed.

Scheduling & Administrative Support

• Schedule patient appointments and assist with scheduling requests.
• Help patients schedule future visits before they leave the clinic.
• Communicate and collaborate closely with the Remote Front Desk team regarding patient needs and scheduling updates.
• Assist with administrative tasks as assigned.

Clinic Operations Support

• Receive and coordinate deliveries.
• Greet and assist vendors and service providers.
• Support Physical Therapists, aides, and clinic staff as needed.
• Maintain a clean, organized, and welcoming lobby environment.
• Assist with special projects and clinic initiatives.

• Basic computer and technology skills.
• Reliable, punctual, and professional.
• Minimum of 2 years of Customer Service experience
• Front Desk experience preferred but not required
• Ability to work onsite in Irvine, CA.

Physical Requirements ‍️

This is not a sit-behind-the-desk-all-day position.

You will have access to a mobile workstation, laptop, and rolling stool; however, the ideal candidate is comfortable being on their feet throughout the day and moving throughout the clinic to assist patients and staff.

Responsibilities may include:

• Standing and walking frequently throughout the workday.
• Assisting patients at kiosks and throughout the clinic.
• Moving between the lobby and treatment areas as needed.
• Occasionally lifting or moving light office supplies and deliveries.
