Position Summary
We are seeking a friendly, organized, and dependable Receptionist to join our team in Quogue, NY for a 6-week contract assignment. The Receptionist serves as the first point of contact for visitors, parents, staff, and vendors, providing exceptional customer service while ensuring the smooth day-to-day operation of the front office. This position requires excellent communication skills, attention to detail, and the ability to manage multiple administrative tasks in a professional school environment.
Key Responsibilities
Welcome and assist visitors, parents, students, and staff in a courteous and professional manner.
Answer incoming telephone calls, take accurate messages, and direct calls to the appropriate personnel.
Coordinate appointments with teachers and staff as needed.
Open, sort, and distribute incoming mail.
Record check deposits accurately in the designated check log.
Maintain office logs, filing systems, and general records in an organized manner.
Perform data entry and other routine clerical tasks.
Assist with general administrative support as assigned by the School Business Administrator.
Maintain confidentiality of sensitive information and student records.
Ensure the reception area remains organized, welcoming, and professional.
Support daily office operations and assist with additional administrative duties as needed.
Qualifications
High school diploma or equivalent required.
Previous receptionist, front desk, or administrative office experience preferred.
Clear and legible handwriting.
Ability to read, write, understand, and speak English clearly.
Strong verbal and written communication skills.
Experience answering multi-line telephone systems and directing calls professionally.
Excellent interpersonal and customer service skills.
Strong organizational skills with attention to detail.
Ability to maintain accurate records and filing systems.
Proficiency with standard office equipment, including telephones, copiers, printers, and scanners.
Basic computer skills, including Microsoft Office (Word, Outlook, and Excel), are preferred.
Ability to prioritize tasks, work independently, and maintain professionalism in a fast-paced office environment.
