The Role

Legends Global the leader in privately managed public assembly facilities and live events, has an excellent opening for Receptionist at The PR Convention Center. The Receptionist is the first point of contact for visitors, and is responsible for assisting customers, events staff, tenants, employees, and the general public by operating a multi-line telephone system to answer incoming calls, providing information, and delivering any other customer service needed, by performing the following duties.  Also is responsible for the reception area, the welcoming of the Administration Offices visitors, distributing correspondence and ordering supplies.

Essential Duties

• Maintains a professional, friendly and hospitable presence in all internal/external interactions
• Assists Human Resources with employees’ iniciatives including distribution, employee acknowledgments, among other HR communication
• Sends  the daily cafeteria menu via email to employees
• Ensure consistent physical presence in the reception area during assigned working hours
• Manages incoming telephone calls, assess the purpose of the call, and directs them to the appropriate personnel or department
• Retrieves and forwards voice mail messages to the relevant team members, ensuring follow-up calls are made as necessary
• Manages and maintains the reservation calendar of the Conference Room, ensuring accurate scheduling
• Takes messages or direct calls to voice mail when the appropriate personnel are unavailable.
• Provides information regarding the organization, events, facility details, and directions to callers as needed.
• Welcomes on-site visitors, determines nature of business, notifies the relevant personnel, and directs visitors as required.
• Maintains a clean, organized, and presentable reception area.
• Receives, sorts, and distributes incoming mail, as well as routes publications.
• Maintains copy machines, and assist users
• Responsible for the inventory management, and distributin of office supplies; ensures the storage area remains organized with the necessary materials
• Provides support to the Human Resources ans Administration Departments in various tasks and projects
• Adhere to all safety, security and operational protocols of the PR Convention Center
• Performs other clerical duties as needed
• Manages the events ticket raffle platform for the events at the facility

Qualifications

To perform the job successfully, an individual must be able to perform the duties satisfactorily.  The following qualifications represent the knowledge, skills, and/or ability required

• Bilingual (Spanish/English) required.

• Professional with excellent organizational, written and oral communication skills.

• A positive and "go getter" mindset and is willing to assist
• Excellent Customer Service Skills
• Must be organized and detailed-oriented

• Ability to work unsupervised and to function both independently and as a team member
• Demonstrates a high level of professionalism with high enthusiasm and team oriented

• Ability to multi-task and prioritize work assignments in a fast paced environment.
• Ability to be a clear thinker, analyze and resolve problems, exercising good judgement
• Ability to work cooperatively and professionally with other departments, with respect to the chain of command
• Ability to work extended hours, if needed

• Must be proficient with Microsoft Word, Excel, Outlook, Canvas, PP
• Demonstrated ability to learn new software programs

Education and/or Experience

• A minimum education level of: Associate Degree or equivalent in experience working with similar task

• A minimum of 1 years of related work experience

Computer Skills

• Must have proficiency with Microsoft Excel, Word, PowerPoint and Outlook
• Demonstrated ability to learn new software programs
