Receptionist & Scheduling Coordinator

We are seeking a friendly, organized, and dependable Receptionist & Scheduling Coordinator to join our New Rochelle office. As the first point of contact for our clients, you will play a key role in creating a positive customer experience and ensuring smooth day-to-day operations. In this position, you will manage incoming calls, schedule appointments for our arborists, maintain accurate calendars, and ensure customer information is properly documented in our database. Working closely with our arborists and office team, you will help ensure every client inquiry receives prompt attention and every appointment is scheduled efficiently and accurately.

Your responsibilities will include:

• Answer, screen, and direct incoming telephone calls in a professional and courteous manner
• Serve as a welcoming first point of contact for clients, prospective clients, and visitors
• Listen to customer questions and concerns, gather property and service information, and route inquiries to the appropriate team member
• Schedule, reschedule, confirm, and coordinate appointments for arborists
• Maintain accurate arborist calendars while considering availability, geographic service areas, and existing commitments
• Record complete customer information, appointment details, notes, and follow-up activities within the company database
• Monitor and respond promptly to voicemail, email, and website inquiries
• Provide general information about Almstead's services and guide clients through the appropriate next steps
• Communicate schedule changes, cancellations, and urgent requests to arborists and office staff
• Address routine customer-service concerns while escalating technical, safety-related, or more complex matters when necessary
• Greet visitors and direct them to the appropriate employee or department
• Assist with filing, scanning, data entry, customer records, and other administrative office tasks as phone coverage allows
• Follow company policies and customer-service standards to ensure a consistently high-quality client experience

Requirements

• High school diploma or equivalent required
• One or more years of receptionist, appointment-scheduling, call-center, or customer-service experience required
• Excellent verbal communication, listening, and telephone-etiquette skills
• Ability to manage multiple telephone calls, calendars, and requests in a fast-paced environment
• Comfortable using Microsoft Outlook, Word, and Excel
• Experience with scheduling, CRM, or customer-database software required
• Ability to learn basic tree, shrub, and lawn-care terminology and accurately communicate customer concerns is a plus
• Experience in a home-service, landscaping, property-service, or similar service business is a plus
• Bilingual English and Spanish skills required
