ABOUT THE ROLE

The Receptionist serves as the first point of contact for visitors, clients, and employees, providing professional and courteous customer service while supporting daily administrative and office operations. This role is responsible for handling front-desk activities and communications, coordinating office functions, and participating in or assisting with cross-departmental projects. The ideal candidate helps maintain an organized, efficient, and positive workplace environment.

RESPONSIBILITIES

  • Greet and assist visitors, clients, and vendors in a professional and friendly manner; and refer, when necessary, to the appropriate person, official, or department.
  • Answer, screen, and direct incoming phone calls and emails.
  • Prepare and manage incoming and outgoing mail, deliveries, and packages; distribute incoming mail to corresponding departments.
  • Maintain the reception area and common office spaces to ensure a clean and professional appearance for visitors, guests, clients, vendors, and employees.
  • Assist with scheduling appointments, meetings, and conference room reservations.
  • Provides administrative support, including filing, data entry, copying, scanning, and document preparation.
  • Assist with purchasing office supplies and/or breakroom supplies and track inventory.
  • Coordinates with internal departments to support office operations and employee needs.
  • Maintain confidentiality of sensitive information and company records.
  • Support special projects and other administrative duties as assigned.

QUALIFICATIONS

  • Experience working with confidential materials and knowledge of how to handle sensitive information.
  • At least two (2) years of customer service experience.
  • At least one (1) year in a reception-like environment or similar experience.
  • May be required to complete and pass a Public Trust Security Clearance

PHYSICAL REQUIREMENTS

WORK ENVIRONMENT

This position is predominantly held in a clerical environment and may also access the production floor in an industrial warehouse setting.

  • This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • While performing the duties of this job, the employee is frequently exposed to fumes or airborne particles, moving mechanical parts, and vibration. The noise level in the work environment can be loud.
