Description

Basic Function: Under the direct supervision of the ECSS Administrative & Office Coordinator,
performs clerical functions; provides appropriate information and direction; courteously greets telephone
callers and visitors; facilitates the flow of incoming and outgoing communication; and types and/or
organizes reports and correspondence. Provides clerical/administrative support to the ECSS program and
to other departments on an as-needed basis.

Reports To: ECSS Administrative & Office Coordinator
Supervises (Position Title): None
 

Principal Duties/Responsibilities:

  • Greets visitors, maintains an awareness of visitors' and/or callers’ needs. Provides answers to routine inquiries and other information as appropriate and as assigned.
  • Operates telephone/intercom system, courteously screens all calls in order to transfer calls to appropriate persons.
  • Types and proofreads reports, letters, and routine correspondence as required.
  • Sorts and routes incoming mailings and organize folders and files.
  • Proofreads and type out correspondence for the ECSS program; other duties may include preparing Excel worksheets.
  • Maintains the program directory, phone lists, room schedules, sign-in sheets, and travel log.
  • Maintains a neat, clean business attire and appearance.
  • Maintain confidentiality of all information processed.
  • Maintains courteous, professional, and effective working relationships with employees at all levels, clients, vendors, and representatives of external organizations.
  • Assists in preparing for events, meetings, and tours as required.

Specifications:

Position requires a high school diploma, or a GED 

2 years of business/ secretarial training, and experience.

Working knowledge of Microsoft Office applications, 

Must type accurately 50-55-wpm.
 

 

Skills, Knowledge, and Abilities

Ability to work with a wide range of personalities in a courteous, effective, and efficient manner.

Good verbal communication skills, and proper use of grammar and sentence structure are also required.

Understand and follow office safety-security practices.

Ability to work with minimum supervision.

The employee is occasionally required to stand; walk; use hands to finger, handle, or feel; and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
