Job Description

Receptionist Position

Serve as the face of the office, creating a professional and welcoming experience for visitors, clients, and employees. Manage the main phone line, directing calls and handling inquiries with professionalism and discretion. Coordinate visitor logistics, including guest registration, security clearances, room setup, and hospitality arrangements. Prepare conference rooms for meetings, including catering coordination, beverage setup, and ensuring spaces are presentation-ready. Receive and distribute mail, packages, and deliveries while communicating with the appropriate recipients. Maintain reception, conference rooms, kitchens, and other shared spaces to ensure a polished office environment. Monitor inventory levels and assist with ordering and restocking office and kitchen supplies. Provide administrative support to various teams and assist with special projects as needed. Partner closely with office operations and facilities personnel to support day-to-day office functions. Handle multiple priorities in a fast-paced environment while maintaining exceptional attention to detail and customer service.

A successful Receptionist should have: 1-2 years of experience in a professional office environment. Exposure to professional services, financial services, legal, consulting, or a similar corporate setting. A polished, professional presence and strong interpersonal skills. Excellent verbal and written communication abilities. Strong organizational skills and exceptional attention to detail. Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel. The ability to multitask, prioritize responsibilities, and remain composed in a fast-paced environment. A proactive, team-oriented approach and willingness to assist across departments. Strong customer service skills and a commitment to creating a positive visitor experience. Reliability, punctuality, and a strong professional work ethic.
