FULL DESCRIPTION: We are seeking a reliable and professional Receptionist to serve as the first point of contact for our organization. The ideal candidate will be personable, organized, and capable of managing a variety of front-desk and administrative duties in a fast-paced environment.
The selected candidate will be responsible for:
Phone & Communication
- Answer incoming telephone calls promptly and professionally.
- Transfer calls accurately to the appropriate department or individual.
- Take and relay messages as needed in a timely and accurate manner.
Front Desk & Visitor Management
- Greet and assist visitors and guests upon arrival in a courteous and professional manner.
- Monitor and operate the entrance gate; grant access to authorized delivery personnel and visitors.
- Maintain a secure and organized reception area at all times.
Mail Handling
- Open, sort, and distribute incoming mail and packages to the appropriate recipients.
- Prepare and process outgoing correspondence as directed.
Filing & Document Management
- Perform general filing duties to maintain organized and accessible records.
- Assist various departments with their filing needs as requested.
Data Entry & Administrative Support
- Perform accurate data entry into pre-existing Excel spreadsheets in support of the Accounting team.
- Ensure data is entered correctly and in a timely manner; report any discrepancies to the appropriate team member.
Office & Kitchen Support
- Restock and maintain the office refrigerator, ensuring items are rotated and the area is kept clean. Restock snacks.
- Place supply and miscellaneous orders as directed by management.
The selected candidate will also possess:
- Strong verbal and written communication skills.
- Professional telephone etiquette and excellent phone skills.
- Ability to work proficiently within pre-existing Microsoft Excel spreadsheets (data entry, navigation, and basic formatting).
- Highly organized with strong attention to detail.
- Ability to multitask and prioritize in a busy front-desk environment.
- Dependable, punctual, and team-oriented attitude.
- Previous receptionist or administrative experience preferred.
