Key Objectives

  • Ensure accurate and timely management of company records in compliance with internal policies and legal requirements.
  • Support the retrieval, archiving, and disposal of records to optimize information flow and accessibility.
  • Maintain confidentiality and security of sensitive documents.
  • Collaborate with various departments to streamline records processes and improve efficiency.

Responsibilities

  • Organize, classify, and file physical and electronic documents according to established procedures.
  • Maintain and update the records management system to ensure accuracy and completeness.
  • Retrieve and distribute documents promptly upon request from authorized personnel.
  • Assist in the periodic audit and review of records to ensure compliance with company policies and regulatory requirements.
  • Coordinate the secure disposal or archiving of records following retention schedules.
  • Support the implementation of records management improvements and digital transformation initiatives.
  • Respond to internal and external inquiries related to records and documentation.
  • Ensure confidentiality and proper handling of sensitive information at all times.

Requirements

  • High school diploma or equivalent; additional certification in records management or related fields is a plus.
  • Proven experience in records management, administrative support, or document control.
  • Familiarity with records management software and electronic filing systems.
  • Strong organizational skills with meticulous attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Good communication skills and ability to work collaboratively across teams.
  • Basic computer skills including MS Office (Word, Excel, Outlook).
