Job Title: Records Management - III
Job Location: Groton, CT - Hybrid; minimum two days per week onsite
Job Duration: 12-Month Contract


Description:
  • This role will be responsible for managing both physical and electronic records, supporting document lifecycle processes, and assisting with document remediation activities related to the implementation of a new document management system.
  • The ideal candidate will have experience working in a regulated industry, strong organizational skills, and the ability to coordinate multiple projects while ensuring compliance with established procedures and record retention requirements.
Key Responsibilities:
Records and Archive Management
  • Support onsite archive operations, including receiving, cataloging, storing, and retrieving records and archived materials.
  • Manage both paper and specimen archives in accordance with company procedures and regulatory requirements.
  • Maintain accurate record inventories and archive tracking systems.
  • Coordinate archive activities with internal stakeholders and archive team members.
  • Ensure records are handled, stored, and retained according to established compliance standards.
Document Management and Control
  • Support the administration and maintenance of electronic document repositories.
  • Assist with controlled document processes, including document creation, revision, review, approval, and archival activities.
  • Support monthly document lifecycle and Standard Operating Procedure (SOP) updates.
  • Monitor document status and ensure timely completion of document review and approval workflows.
  • Ensure document compliance with internal policies and regulatory requirements.
System Migration and Remediation Support
  • Assist with document remediation efforts related to the implementation of a new document management system.
  • Coordinate with document authors and functional stakeholders to update and prepare documents for migration.
  • Track project progress, follow up on outstanding actions, and communicate timelines and deliverables.
  • Support data quality and document readiness activities throughout the migration process.
Compliance and Operational Support
  • Maintain compliance with applicable quality and records management procedures.
  • Assist in identifying process improvements that enhance efficiency and document control.
  • Participate in training activities related to records management systems, archive operations, and compliance procedures.
  • Work closely with cross-functional teams to ensure accurate and compliant record management practice

Required Qualifications:
  • Bachelor's degree or equivalent work experience.
  • Experience in records management, document control, archives management, quality systems, or related administrative operations.
  • Strong organizational, planning, and project coordination skills.
  • Excellent attention to detail and ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office applications.

Preferred Qualifications:
  • Experience working in a regulated environment such as:
    • Pharmaceutical
    • Biotechnology
    • Medical Device
    • Manufacturing
    • Quality or Compliance Operations
  • Knowledge of document management systems and controlled document processes.
  • Experience supporting SOP management and document lifecycle activities.
  • Familiarity with records retention and compliance requirements.
  • Experience with electronic document management systems such as Documentum, Veeva, or similar platforms.
  • Experience coordinating document remediation or system migration projects.
Work Environment
  • Hybrid work arrangement with a minimum of two onsite days per week.
  • Position involves working with paper records, electronic records, and archived specimen materials.
  • Training will be provided for archive handling procedures and internal systems.
