Opensity Solutions is seeking a Records Supervisor to lead and actively participate in day-to-day records operations within our client environments. This is a hands-on, working supervisor role—ideal for a leader who thrives in the details while guiding a small, high-performing team.
In this role, you will oversee the organization, maintenance, security, and lifecycle management of both physical and electronic records. You’ll play a critical role in ensuring compliance, driving operational excellence, and delivering high-quality service while directly supporting records workflows alongside your team.
What You’ll Do
Lead & Execute Records Operations
Oversee and actively support daily records management activities including classification, storage, retrieval, retention, and disposition
Maintain and optimize records systems to ensure accuracy, accessibility, and efficiency
Manage inventories, file transfers, offsite storage, and archiving processes
Ensure proper handling and protection of confidential and sensitive information
Supervise & Develop a Small Team
Lead a team of 3–5 records associates, providing hands-on guidance, coaching, and mentorship
Assign and prioritize workloads to ensure timely and accurate completion of tasks
Train and cross-train team members to build capability and consistency
Monitor performance, productivity, and service quality while fostering accountability and engagement
Drive Compliance & Quality
Ensure adherence to records retention schedules, privacy regulations, and data protection standards
Conduct audits and quality reviews to maintain accuracy and compliance
Partner with legal, compliance, and operations teams on audits and process improvements
Implement corrective actions and continuously improve workflows and procedures
Support Operations & Reporting
Prepare and maintain reports on records activity, inventory, and performance metrics
Maintain accurate documentation for audits and operational tracking
Contribute to process improvement initiatives, digitization efforts, and special projects
Stay current on records management best practices and information governance standards
What You Bring
Prior experience leading a team of at least 3–5 employees in a records, document control, or operational environment
Strong working knowledge of records management principles, retention, and compliance standards
Proven ability to balance hands-on execution with team leadership responsibilities
Experience supporting matter mobility initiatives within legal or corporate environments preferred
Familiarity with records and information governance systems such as FileTrail, LegalKEY, iComply, and iManage strongly preferred
Exceptional attention to detail, organization, and problem-solving skills
Strong communication skills with a customer-focused mindset
Ability to manage multiple priorities in a fast-paced, service-driven environment
Proficiency with Microsoft Office and records management or electronic filing systems
Qualifications
High school diploma or equivalent required; associate or bachelor’s degree preferred
2–3+ years of experience in records management, information governance, or related operations
Supervisory or team leadership experience required
Relevant certifications (records management, compliance, or information governance) are a plus
The Compensation range for this role is up to $40.00/hr. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
