Job Summary

The City of Bellevue is currently seeking a Recreation Program & Event Technician for the Northwest Arts Center (NWAC). This is a generalist position that will provide administrative, programming and special event support to recreation staff with an emphasis on marketing, program facilitation and event coordination. Programs will include young children, teens, all-age adults, and families. The position will require a 'self-starter' with strong communication and community/public relation skills.

Tentative Work Schedule: Monday - Sunday between the hours of 8 am - 10 pm. Schedule will be discussed and determined at time of hire. Hours will vary between 15-35 per week, matching program needs with a combination of day, evening, and weekend work.

Positions in this classification provide clerical and program support to recreation/community programs or program facilities. The incumbent provides direct one-on-one and group assistance to a diverse group of people and organizations sponsoring programs or desiring to use the facilities. The Recreation Program & Event Technician maintains attendance records, participant forms, and other statistical information necessary for reporting and funding programs; assists instructors during programs by aiding program participants; prepares facility for specific activities and cleans up after programs. The Recreation Program & Event Technician is expected to also provide general office support by answering the telephone and greeting the public, typing, filing, and doing basic record keeping.

Essential Duties and Responsibilities

Provides Administrative, Program and Special Event Support by:

  • Delivering and collecting program materials and equipment.
  • Preparing brochures, flyers, and banners for distribution throughout the city.
  • Arranging program sites for specific programs; moving equipment and supplies as needed for the day's program schedule; setting-up/breaking-down rooms for meetings and facility rentals.
  • Greeting and checking in customers and providing information to program participants and the public and directing building users to their assigned areas.
  • Assisting with updating and maintaining event calendars, website content, social media sites, and other advertising opportunities identified by the Program Manager.
  • Preparing camp participant packets for mail and sending email registration reminders.
  • Assisting with summer camp programming including extended care.
  • Assist with NWAC special events such as Monster Mash Halloween Bash, Spring into Art, Chalk Art Festival, Bellevue Family 4th and Argosy Cruises Holiday Ships.
  • Under the direction of the Program Manager, assist with the planning and execution of the Bellevue Family 4th of July celebration at Downtown Park, coordinating event logistics and signage, assisting vendor coordination, compiling vendor information packets, tracking application materials, communicating with staff, attending and taking meeting notes.
  • Coordinating department use requests of the special event trailer, tracking & organizing its inventory and loading & unloading supplies.
  • Processing program registrations and collecting fees; maintaining required forms and information for each participant.
  • Processing facility rental requests and collecting fees; maintaining building use schedule and ensuring necessary staff and equipment are available for renters.
  • Collecting and maintaining statistical data for expense and revenue tracking assignment.

Supervision Received and Exercised:

  • Supervises participants before and after scheduled programs.
  • Works under general supervision of the NWAC Program Manager.
  • Exercises supervision over partially benefited employees and volunteers, as assigned.

Qualifications

Knowledge, Skills, Abilities and Competencies:

  • General office experience and considerable experience in dealing directly and regularly with the public.
  • Knowledge of the program characteristics and practices specific to the assignment.
  • Knowledge of general office procedures; knowledge of building and program security practices.
  • Knowledge of safety practices and ability to recognize and eliminate unsafe situations or conditions.
  • Ability to communicate in a concise and articulate manner with a wide variety of people; ability to provide clear instructions.
  • Ability to be sensitive to the needs of staff, public and program participants, and work with them in the most appropriate manner.
  • Ability to maintain accurate and diverse records; skill in doing basic mathematics, including addition, subtraction, multiplication, division, percentages, and averages.
  • Ability to work on several different tasks at once; ability to deal well with frequent interruptions and demands; ability to be flexible and to adapt to different and ever-changing situations and people.
  • Skill in writing clear and concise letters and memos; skill in synthesizing written information into succinct notes or outlines.
  • Skill in typing and use of computer.
  • Skill in driving a vehicle safely in all kinds of traffic and weather conditions.

Education, Experience, and Other Requirements:

  • High School Diploma and one or more years of experience in recreation programming, art, fitness and/or event planning is desirable. Prior Customer Service experience necessary. General office experience and considerable experience in dealing directly and regularly with the public.
  • Persons in this classification must acquire and maintain a First Aid/CPR/AED Certificate.
  • Depending on the assignment, they must also have no history of conviction or crime against any person or no finding in any legal action of having sexually assaulted or exploited or physically abused any minor.
  • Must possess, or be able to obtain, a valid Washington State Driver's license by date of hire. Must have and maintain a good driving record.

This is a variable, non-exempt, non-union position.

Definition of a Variable Employee:

Average weekly hours cannot be determined at date of hire. Hours may vary from week to week and not exceed 28 hours per week. NOTE: Will be considered full-time and eligible for medical coverage if hours average 30 hours per week or more over a 12-month measurement period (or 130 hours per month)
