JOB SUMMARY AND QUALIFICATIONS:
The Recruiting Coordinator provides comprehensive administrative and operational support throughout the recruitment and hiring process. This position serves as a key point of contact for candidates, hiring managers, recruiters, and HR team members and helps ensure recruitment activities are timely, organized, compliant, and provide a positive candidate experience. The role coordinates the recruiting workflow from an approved Request to Post through candidate handoff to onboarding, including job posting, sourcing, phone screens, interview coordination, reference checks, pre-employment requirements, offer processing, recruitment events, ATS administration, and recruiting metrics.
WHAT YOU SHOULD HAVE FOR THIS ROLE:
- 2+ years of experience in recruiting, human resources, staffing, or a related administrative role preferred.
- Experience using an applicant tracking system (ATS) and/or HRIS preferred.
- Strong organizational, time-management, communication, and follow-through skills.
- Ability to manage multiple vacancies and competing priorities with strong attention to detail.
- Ability to maintain confidentiality and handle sensitive candidate and employee information.
- Proficiency with Microsoft Office or comparable productivity software.
- Experience in nonprofit, healthcare, behavioral health, social services, high-volume, or frontline recruiting preferred.
RESPONSIBILITIES:
- Process approved Request to Post and Request to Hire forms; verify required information and approvals before recruitment begins.
- Create, publish, refresh, and close job postings on the career site, job boards, social media, and other appropriate recruitment sources.
- Source candidates through job boards, professional networks, community partners, schools, workforce agencies, social media, and targeted outreach.
- Review applications and resumes against established qualifications;
- conduct initial phone screens using approved screening questions and document results in the ATS.
- Coordinate phone, virtual, and in-person interviews; provide confirmations and instructions and follow up with hiring managers for timely feedback.
- Conduct or coordinate reference checks and initiate and monitor required pre-employment screenings, including background, drug, credential, license, driving-record, or other position-specific checks.
- Prepare approved offer documentation, coordinate required approvals, track offer outcomes, and transition accepted candidates to onboarding.
- Maintain accurate candidate stages, notes, records, and recruitment documentation in the ATS/HRIS; protect confidentiality and follow record-retention requirements.
- Coordinate job fairs, career fairs, hiring events, community outreach, recruitment materials, staffing, candidate leads, and follow-up activities.
- Support recruitment marketing, social media campaigns, employee referral efforts, employer branding, and relationships with colleges, workforce agencies, vocational programs, and community organizations.
- Serve as a responsive point of contact for candidates and provide timely, professional communication regarding status and next steps.
- Maintain vacancy trackers and recruiting reports, including applicants, screens, interviews, offers, hires, time-to-fill, source of hire, conversion rates, and hard-to-fill positions.
- Provide hiring managers with pipeline updates, follow up on outstanding feedback and decisions, reinforce established recruiting processes, and escalate recruitment challenges as appropriate.
- Follow applicable employment laws, organizational policies, selection procedures, confidentiality standards, and recruitment documentation requirements.
- Identify opportunities to improve recruiting workflows, forms, systems, communication, sourcing strategies, candidate experience, and overall process efficiency.
- Participate in recruitment strategy meetings and HR projects and assist with orientation, onboarding, internship, apprenticeship, seasonal, and high-volume hiring activities as needed.
