About the Opportunity
This company is seeking a highly organized and customer-focused Recruiting Coordinator to join its Talent Acquisition team. This is an excellent opportunity for an HR or recruiting professional who thrives in a fast-paced environment and enjoys supporting the full recruitment lifecycle.
The Recruiting Coordinator serves as a key point of contact for candidates, recruiters, hiring managers, and business leaders. This individual will play a critical role in ensuring a positive candidate experience while coordinating recruiting operations, interview scheduling, requisition management, reporting, and other talent acquisition activities.
This is a hybrid contract position that can be based in either Wilmington, Delaware or Philadelphia, Pennsylvania.
Key Responsibilities
- Coordinate and manage multiple recruiting activities simultaneously while providing exceptional customer service to candidates and internal stakeholders.
- Serve as a liaison between recruiters, hiring managers, project teams, executive assistants, and candidates throughout the hiring process.
- Support the requisition submission and approval process and coordinate recruitment kickoff activities.
- Schedule and coordinate interviews, including complex scheduling requests and travel arrangements when required.
- Welcome and assist candidates and hiring managers during the interview process to ensure a positive experience.
- Track and manage all interview requests from initiation through completion.
- Coordinate candidate travel logistics, prepare interview materials, and distribute travel vouchers as needed.
- Support recruitment outreach initiatives focused on attracting diverse talent, including veterans, women, individuals with disabilities, and college candidates.
- Participate in recruiting events and employment branding activities when needed.
- Create and manage job postings and requisitions within the Applicant Tracking System (ATS).
- Schedule intake meetings between recruiters and hiring managers.
- Assist recruiters with sourcing efforts, candidate outreach, and pre-screening activities.
- Coordinate candidate assessments and testing processes as required.
- Conduct phone screens and evaluate candidate qualifications when needed.
- Prepare offer letters and rejection communications.
- Maintain recruiting data, metrics, scorecards, and reporting.
- Ensure compliance with recruiting policies, procedures, employment laws, and service-level agreements.
- Partner with external vendors to manage recruiting processes and resolve operational issues.
- Maintain accurate candidate and requisition records within the ATS.
- Assist with additional Talent Acquisition projects and administrative tasks as needed.
Required Qualifications
- Bachelor''s degree or an equivalent combination of education, training, and relevant experience.
- Experience in recruiting, human resources, customer service, or business operations/support.
- Strong organizational skills with the ability to prioritize and manage multiple responsibilities independently.
- Demonstrated initiative, resourcefulness, and problem-solving ability.
- Exceptional attention to detail and follow-through.
- Ability to handle highly confidential information with professionalism and discretion.
- Experience supporting or improving business processes.
- Ability to quickly adapt to changing business priorities.
- Strong time management and multitasking skills.
- Ability to work effectively in a fast-paced, high-volume environment.
- Excellent verbal and written communication skills.
Preferred Qualifications
- 3+ years of relevant recruiting, HR, or talent acquisition experience.
- Experience working with Applicant Tracking Systems (ATS).
- Knowledge of federal, state, and local employment laws related to recruiting and hiring.
- Experience supporting recruitment operations in a corporate environment.
- Experience scheduling interviews, conducting phone screens, and partnering with hiring managers.
- Familiarity with EEO, AA, and OFCCP compliance requirements.
- Experience managing relationships with external recruiting vendors.
- Familiarity with SAP, SuccessFactors, or similar HR systems.
- Experience creating recruiting reports and analyzing recruitment metrics.
- Project management or process improvement experience.
- Advanced proficiency with recruiting technologies, social media, and online sourcing tools.
- Strong presentation and communication skills.
- Ability to exercise sound judgment and discretion.
- Flexibility and adaptability in a dynamic work environment.
