About the Role:
We are seeking a dynamic and detail-oriented Recruiting Operations Specialist to join our team and drive excellence in our talent acquisition processes. This pivotal role supports the end-to-end recruiting operations, ensuring seamless candidate experience and optimized recruiting workflows. As a key contributor, you will collaborate across teams, leverage data insights, and implement process improvements to meet hiring goals efficiently and effectively.

Key Responsibilities:
  • Streamline Recruiting Processes: Manage and optimize applicant tracking system workflows, ensuring accurate data entry, documentation, and candidate tracking.
  • Data-Driven Decision Making: Analyze recruitment metrics and trends to identify bottlenecks and opportunities for process improvements. Provide actionable insights to hiring managers and leadership.
  • Candidate Experience Enhancement: Coordinate interview scheduling, communication, and feedback collection to ensure a positive candidate journey.
  • Supporting Hiring Strategies: Assist in developing and executing talent sourcing strategies, including outreach campaigns and partnerships with external vendors.
  • Ensure Compliance & Best Practices: Maintain adherence to company policies, employment laws, and industry best practices throughout the recruiting lifecycle.
  • Collaborate Cross-Functionally: Work closely with HR, hiring managers, and external partners to coordinate staffing needs and streamline onboarding processes.
  • Reporting & Administration: Prepare regular and ad-hoc reports on recruitment KPIs, pipeline status, and process efficiencies. Maintain accurate records and documentation.
  • Continuous Improvement: Identify opportunities to innovate recruiting practices, leverage new tools, and enhance overall operational efficiency.

Qualifications & Skills:
  • Experience: Minimum of 2 years in recruiting operations, staffing coordination, or related roles. Experience with applicant tracking systems (ATS) and recruitment platforms.
  • Education: Bachelor's degree preferred; equivalent relevant experience will also be considered.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint), including advanced Excel functions (pivot tables, VLOOKUPs). Experience with data visualization tools (e.g., Power BI, Tableau) is a plus.
  • Analytical & Problem-Solving: Strong ability to interpret data, identify patterns, and develop innovative solutions. Critical thinker with attention to detail.
  • Communication: Excellent verbal and written skills; ability to communicate effectively with candidates, hiring managers, and leadership.
  • Self-Motivated & Independent: Demonstrated ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Additional Requirements: Must be authorized to work in the U.S. and at least 18 years old.

Preferred Qualifications:
  • Experience with scheduling and resource planning tools, such as the INFORM GroundStar product suite.
  • Knowledge of contractual provisions related to staffing, bidding, and pay structures, particularly in aviation or unionized environments (e.g., IAM or AMFA).
  • Experience with data analysis and visualization tools, such as SQL, Power BI, Tableau, or similar platforms.
