The Referral Coordinator is responsible for managing and coordinating patient referrals between healthcare providers, specialists, insurance companies, and patients. This role ensures referrals are processed accurately, appointments are scheduled efficiently, required documentation is obtained, and patients receive timely access to care.
Responsibilities
Receive, review, and process incoming patient referrals from providers and healthcare teams.
Send and receive referral documentation through eFax systems and ensure accurate transmission of medical records.
Verify referral requirements, insurance authorizations, and patient eligibility information.
Coordinate appointments with specialists, clinics, and healthcare facilities.
Track referral status and follow up with providers, patients, and specialty offices to ensure timely completion.
Obtain, organize, and maintain medical records, authorizations, and supporting documentation.
Upload and update referral documents within electronic medical record (EMR/EHR) systems including referral follow up and progress note documentation by referring provider.
Communicate referral updates and appointment details to patients and healthcare teams.
Confirm patient compliance consistent with the referral and document patient visit.
Maintain accurate referral logs and documentation.
Ensure compliance with HIPAA regulations and patient privacy standards.
Assist with improving referral workflows and administrative processes.
Coordinate query from call center and direct them accordingly.
Assist with special projects and clinic initiatives as requested.

Requirements
MINIMUM REQUIRED
High school diploma or equivalent required; healthcare administration experience preferred.
Familiarity with electronic fax (eFax) systems, document management, and medical record handling.
Knowledge of medical terminology, insurance processes, and referral authorization requirements.
Experience using EMR/EHR systems and Microsoft Office applications.
Strong attention to detail, organization, and communication skills.
Ability to manage multiple tasks in a fast-paced healthcare environment.
PREFERRED
Experience working in a medical clinic, specialty practice, or hospital setting for a minimum of 6 months.
Experience with referral portals, electronic document workflows, and insurance authorizations.
Bilingual communication skills preferred based on patient population.
