    Description

    Under the direct supervision of the Senior Vice President/Regional Manager for General Brokerage, performs administrative duties that are highly confidential in nature, requiring comprehensive knowledge of organizational policies, practices, and procedures. Assumes responsibility for quality and quantity of work. Regular, predictable and dependable attendance is essential to satisfactory performance of this job.

    Key Responsibilities:

    • Provides overall support to the SVP/Regional Manager for correspondence, reports, meetings, etc. that are highly confidential and sensitive to the operations of the company.
    • Prepare correspondence, documents and reports; originates some correspondence as instructed by the Regional Manager.
    • Arrange appointments, team and zoom meetings; maintains calendars, prepares agendas and participates in meetings as needed and takes minutes.
    • Makes travel arrangements for SVP/Regional Manager and maintains expense reports.
    • Answers telephones, assisting with questions as necessary; accommodates visitors.
    • Reads and reviews mail, determining which mail is to be answered, and which must be brought to the attention of the SVP/Regional Manager.
    • Maintains all general (subject) files.
    • Handles personal correspondence and other personal items for SVP/Regional Manager.
    • Performs office administrator's duties as needed.
    • Participates in recruiting, selecting, training and motivating staff for the branch office(s) and contributing to fulfilling the company-wide objectives. Developing staff training programs and conducting orientation for new employees.
    • Supporting the SVP/Regional Manager in developing, recommending and implementing programs and long-range objectives designed to enhance the business strategy and enable it to achieve its goals relative to profitability, cost control and organizational effectiveness.
    • Promotes affiliated company businesses and work to increase capture rate of the affiliates.
    • Stay up to date on the market, trends, skills, technology and related sales skills.
    • Marketing support for the SVP/Regional Manager.
    • Production tracking and reporting.
    • Acts as a Liaison between employees of region and HR, performing interviews and recommendations to managers and SVP/Regional Manager and maintains those HR records.
    • Venue and vendor management & Planning. Develop event concepts, negotiate contracts, obtain corporate approval and process vendor invoices. Oversee and manage event logistics.
    • Perform any additional responsibilities as requested or assigned.

    Requirements:

    Job Requirements:

    • Associate's degree or higher education level preferred
    • 7-10 years directly related administrative experience, of which at least three years' experience supporting an executive, or combination of training and experience to perform requisite duties
    • Must possess strong administrative skills, including shorthand or fast notes; the ability to organize and prioritize work; and ability to handle confidential and sensitive information
    • Must possess excellent oral and written communications skills as well as excellent computer skills
    • Must possess outstanding interpersonal skills and the ability to coordinate several projects simultaneously
    • General knowledge of real estate business preferred
