Position OverviewThe Registrar Service Specialist provides consistent, friendly support to students, faculty, and staff, assists with the maintenance of academic records, enforces policies, and follows established procedures of Galen College of Nursing.Key ResponsibilitiesProvide quality student service and demonstrate the college's commitment to equitable treatment of all students.Verify that students have met all enrollment and admission requirements, including background checks and admission test thresholds.Assist in processing all readmission students.Provide timely notification to students of status changes such as probation or dismissal.Work and assist other functional campus teams to meet student needs as assigned by the Registrar.Meet with students and contact them routinely regarding attendance, performance, and progression, documenting all interactions in Ellucian Colleague.Provide support and assistance to all students, including:Initial intake and transfer credit agreement.Registration assistance verifying prerequisite/co-requisite rules.Processing waitlists as space permits.Registering students who are repeating.Assisting with questions and issues.Adjusting schedules during add/drop periods and advising on impact of choices on completion and financial aid.Ordering uniforms.Monitoring clinical compliance, contacting non-compliant students and working to obtain required documentation for clinical courses.Provide professional assistance and support to Academic Leadership.Assist in preparing reports and analysis related to student enrollment, registration, attendance, and grades.Coordinate work with Student Success personnel to ensure students receive necessary resources.Relay student comments, complaints, or concerns to campus leadership for timely resolution.Assure compliance with all policies and procedures outlined in the Student Catalog, Faculty Handbook, and College Policy & Procedure Manual.Provide information on policies and procedures to students and staff when requested.Work with students to ensure compliance with Galen and affiliate requirements such as immunizations, CPR, and drug screenings as assigned by the Registrar.Support college and campus goals.Contribute to attainment of campus goals.Track and report on student interactions.Track and report on student placement and work toward campus strategic placement goals.Track and report on other campus goals as assigned.Participate in campus activities that interface with students such as orientation, open house, and graduation (attendance at a minimum of three graduations per year).Other duties as assigned.Position RequirementsEducation: Work toward an Associate degree preferred.Experience: Two years' experience in a college or academic setting preferred.Knowledge, Skills, Abilities: Knowledge or willingness to learn current student systems (Ellucian Colleague, Canvas, Unitime, Verified Credentials), college catalog, policies, procedures, state licensure requirements, campus resources, registration and records procedures, and supervision. Ability to communicate orally with coworkers, customers, clients, and the public in one-to-one or group settings. Ability to work cooperatively with other employees, various levels of management, and students.
