Job Summary
The successful candidate will serve as an integral member of the Early College team, supporting CEI's Early College Programs through student records management and enrollment operations. This position provides direct support to students, parents, high school partners, and instructors throughout the admissions and registration processes for dual credit courses. The Registration Specialist serves as a key resource to high school students and other stakeholders and may occasionally attend high schools and various off-campus events to provide information and support regarding Early College programs.

Typical Job Functions
- Provide operational and enrollment support for CEIs Early College Programs, responding to inquiries in person, by telephone, email, and online regarding program services, processes, and procedures.
- Assist students, parents, instructors, and high school partners with Early College admissions, registration, and payment processes for CEI dual credit courses.
- Monitor registration progress and conduct outreach to students and instructors regarding registration deadlines, incomplete applications, missing documentation, eligibility requirements, and other enrollment-related actions.
- Maintain understanding of the State of Idaho's Advanced Opportunities (AO) funding program; provide information and support to students regarding AO processes and procedures.
- Utilize a variety of software systems and databases to manage student records, enrollment processes and reporting, and track communication efforts.
- Perform accurate data entry and records management while maintaining compliance with institutional policies and FERPA regulations.
- Support program leadership in the processing of student petitions and appeals, maintaining accurate records, and communicating decisions and next steps to students and relevant stakeholders.
- Build and maintain annual dual credit course sections within student information systems, ensuring accuracy of registration settings and course information.
- Maintain understanding of CEI Institutional Catalog, course prerequisites, placement requirements, and enrollment eligibility criteria.
- Support dual credit prerequisite and placement testing needs by providing ALEKS and Accuplacer test proctoring.
- Assist with the development and implementation of marketing and recruitment efforts for Early College Programs.
- Serve on software, technology, and process improvement committees as assigned.
- Participate in orientations, presentations, and outreach events, including occasional evening or off-campus travel.
- Perform other job-related duties as assigned.
Minimum Qualifications
- Associate degree or equivalent combination of education and experience.
- Experience reviewing, processing, filing, scanning, and retrieving documents for compliance with established procedures.
- Experience in higher education or secondary education setting.
- Customer service experience.
- Professional experience using rules of effective business English, including proper spelling, punctuation, grammar, and written communication.
- Skilled in professional telephone, email, and interpersonal communication.
- Ability to manage multiple priorities, analyze information, solve problems, and meet deadlines.
- Strong attention to detail and excellent records management skills.
- Excellent written and verbal communication skills.
- Ability to work individually and collaboratively as part of a team.
- Proficiency with computer applications, databases, and business software systems.
- Incumbent must reside in Idaho (Currently CEI doesn't sponsor Visas).
Additional Desired Qualifications
- Bachelor's degree
- Minimum of one (1) year of experience working with dual credit, early college, or high school populations
- Experience working with Colleague or other Ellucian products, DualEnroll, and Microsoft Office 365 software
- Knowledge of educational pathways and course placement processes.
- Working knowledge of FERPA and higher education records management practices.

Physical Demands and Work Environment:
Sitting, standing, walking, keyboarding, reaching overhead, pushing, pulling, lifting, carrying, gross manipulations (involves hands), squatting, stooping, crouching, climbing ramps, stairs, and standing or sitting (combination). Employees work indoors and are protected from weather and/or contaminants, but not, necessarily, occasional temperature changes.
On-site work is essential and regular predictable attendance is required. Employees may be required to work at occasional events and handle tasks outside of regular working hours.
Background Investigations:
Employment at College of Eastern Idaho will be contingent upon the successful completion of a criminal background investigation and may require a credit and/or motor vehicle background investigation depending on the position. Please refer to Policy 225: Background Checks
