Rehabilitation Office Associate - Full-Time
Location: AdventHealth Shawnee Mission
Schedule: Full-Time | Monday - Friday | 8:00 AM - 4:30 PM

The Rehabilitation Office Associate serves as an essential member of the Rehabilitation Services team by coordinating front office operations, registering patients, verifying insurance information, supporting scheduling, and ensuring accurate patient account documentation. This role delivers outstanding customer service while helping facilitate efficient patient care, supporting clinical staff, and maintaining compliance with organizational policies and regulatory requirements.
Key Responsibilities
Provide exceptional customer service by greeting and assisting patients, families, visitors, and healthcare team members in a professional and compassionate manner.
Register patients accurately while ensuring patient demographics, insurance information, and account details are complete and appropriate for each visit.
Answer and route incoming phone calls promptly while assisting patients and visitors with questions and directing them to the appropriate department or team member.
Verify patient eligibility, insurance benefits, authorizations, and pre-certifications to support timely reimbursement and minimize claim denials.
Explain insurance authorizations, benefit information, and financial requirements to patients in a professional and understandable manner.
Maintain the integrity of patient accounts by entering accurate information, resolving registration errors, and documenting collection or follow-up efforts.
Coordinate scheduling activities to support departmental productivity and patient access goals.
Facilitate timely distribution of treatment plans, progress reports, status reports, and discharge documentation to physician offices, insurance companies, and other authorized entities.
Support rehabilitation clinicians by assisting with assigned administrative and patient care support activities within the scope of the position.
Maintain office supplies and support daily department operations to promote an efficient work environment.
Escalate patient concerns, complaints, or operational issues to leadership as appropriate.
Maintain confidentiality and comply with HIPAA, AdventHealth policies, and all applicable regulatory requirements.
Perform other duties as assigned
Knowledge, Skills & Abilities
Excellent customer service and patient relations skills
Knowledge of patient registration, scheduling, and insurance verification processes
Ability to explain insurance authorizations, pre-certifications, and financial information professionally and compassionately
Strong organizational skills with the ability to prioritize multiple responsibilities in a fast-paced environment
Excellent verbal, written, and interpersonal communication skills
Intermediate computer proficiency, including Microsoft Office applications
Ability to learn and utilize Electronic Medical Record (EMR systems and patient registration software
Strong attention to detail and commitment to maintaining accurate patient information
Ability to work collaboratively with rehabilitation clinicians, physicians, insurance representatives, and interdisciplinary healthcare teams
Ability to problem-solve, resolve issues, and escalate concerns appropriately
Ability to maintain confidentiality and exercise sound professional judgment
Ability to read, write, and communicate effectively in conversational English
Education
High School Diploma or GED - Required
Associate Degree - Preferred
Experience
One year of technical or administrative experience - Preferred
Previous experience in healthcare registration, rehabilitation services, medical office operations, patient access, or customer service is preferred.

Pay Range:
