Position Overview
The Spa Manager is responsible for the daily operations at the spa. Includes oversight of scheduling, facility excellence, administrative duties as well as greeting guests, answering phone calls, assisting guests with questions regarding spa services and products, booking appointments, checking the guest into the computer system and charging for services performed. The Spa Manager is cross trained in the Spa Front Desk and Attendant role and supports responsibilities to perform affiliated tasks.
Key Responsibilities
- Open and close spa operations in accordance with SOPs
- Manage appointments (booking, modifications, cancellations)
- Deliver exceptional guest service aligned with Forbes Five-Star and Vivamee standards
- Provide accurate information on services, treatments, promotions, and facility offerings
- Answer phones promptly and professionally; maintain strong guest communication
- Maintain cleanliness, organization, and overall facility excellence
- Promote spa services, retail products, and special programs
- Resolve guest inquiries and concerns with professionalism and urgency
- Support daily spa operations and assist across departments as needed
- Monitor staffing coverage based on business needs
- Process payroll, approve time records, and run commission reports
- Order supplies in coordination with management
- Assist with hiring, onboarding, and training of team members
- Coach staff and support performance management processes
- Participate in meetings and ongoing training
- Communicate operational issues or incidents to leadership
Qualifications & Skills
- Strong multitasking ability in a fast-paced environment
- Excellent customer service and communication skills
- Basic math and cash-handling proficiency
- Professional, friendly, and team-oriented demeanor
- Proficiency with computers; spa software experience preferred
Education & Experience
- High School Diploma required
- Minimum 2+ years of spa management experience
- Prior spa front desk experience required
- Experience with Book4Time preferred
