J.F. Brennan Company (Brennan) is seeking a highly organized and detail-oriented Rental and Project Support Coordinator to support project teams and field operations by coordinating equipment, tools, and resources across multiple job sites. This position serves as the primary point of contact between project personnel and Asset Management for rental equipment, small tools, and support items, helping ensure projects have the resources needed to operate safely and efficiently.

The Rental and Project Support Coordinator plays a critical role in dispatching company equipment, scheduling company and rental equipment, coordinating equipment returns, managing vendor relationships, and supporting procurement activities for field operations. The ideal candidate thrives in a fast-paced construction environment, enjoys problem-solving, and can effectively manage multiple priorities while maintaining strong communication with internal teams and external vendors.

Rental and Project Support Coordinator Responsibilities

  • Coordinate and schedule company-owned and rental equipment to project sites and job facilities.
  • Dispatch equipment and resources to support project and operational needs.
  • Schedule the timely return of rental equipment when no longer needed.
  • Audit rental equipment data and reporting to ensure accuracy.
  • Develop and maintain relationships with equipment rental vendors and suppliers.
  • Track rental agreements, contracts, and supporting documentation.
  • Obtain and maintain vendor rate sheets when available.
  • Assist in fulfilling equipment and material requests submitted by field personnel.
  • Serve as the primary point of contact for procuring items and services requested by project teams.
  • Support the purchase of small tools, rigging equipment, consumables, and other project support items.
  • Coordinate repair and warranty work for small tools and equipment.
  • Review and approve invoices and credit card receipts on a weekly basis.
  • Communicate effectively with project managers, superintendents, foremen, and Asset Management personnel to support project execution.
  • Perform additional duties as assigned.

Rental and Project Support Coordinator Qualifications

  • High School Diploma required.
  • Minimum of two (2) years of experience in construction, purchasing, equipment coordination, logistics, or a related field.
  • Experience coordinating equipment rentals, dispatching, scheduling, or procurement activities preferred.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office, HCSS, Power BI, computers, and other electronic devices.
  • Strong interpersonal skills with the ability to work independently and collaboratively in a team environment.
  • Highly organized with exceptional attention to detail and follow-through.
  • Superior time management skills with a proven ability to manage multiple priorities and meet deadlines.
  • Ability to adapt and remain flexible in a fast-paced construction environment.
  • Ability to work extended hours when business needs require.
