Engineering Document Specialist – Repair & Maintenance

Position Summary

We are seeking a detail-oriented and highly organized Engineering Document Specialist to support the Repair & Maintenance department within a fast-paced manufacturing environment. This role is responsible for managing, organizing, updating, and controlling engineering and maintenance documentation to ensure compliance, accuracy, and operational efficiency.

The ideal candidate will have experience handling technical documentation, maintenance records, engineering files, SOPs, preventive maintenance documentation, equipment manuals, and compliance records in a regulated manufacturing or industrial environment.

Location: Miramar, FL
Schedule: Monday – Friday | 8:30 AM – 5:00 PM
Salary: $26/hr

Key Responsibilities

Document Control & Management

  • Maintain, organize, and control engineering and maintenance documentation, including SOPs, equipment manuals, technical drawings, maintenance logs, calibration records, and preventive maintenance documentation.

  • Ensure all documents are properly reviewed, approved, updated, and distributed according to company procedures.

  • Track document revisions, version control, and document retention schedules.

  • Maintain electronic and physical filing systems for engineering and maintenance records.

  • Ensure documentation complies with GMP, FDA, OSHA, safety, and company standards.

Maintenance & Engineering Support

  • Support the Repair & Maintenance department with administrative and documentation needs.

  • Assist in tracking preventive maintenance schedules, work orders, equipment inspections, and repair activities.

  • Coordinate documentation related to equipment installations, repairs, calibrations, and maintenance projects.

  • Assist in preparing maintenance reports, equipment histories, and technical summaries.

  • Support engineering and maintenance teams with document retrieval and project coordination.

Cross-Functional Coordination

  • Coordinate with Engineering, Maintenance, Production, QA, Warehouse, and Facilities teams to ensure documentation accuracy and completion.

  • Follow up on pending approvals, missing records, and documentation updates.

  • Assist during audits, inspections, and compliance reviews by providing requested documentation.

  • Work with vendors and contractors to collect technical documentation and service records.

Compliance & Reporting

  • Ensure all engineering and maintenance documentation follows internal SOPs and regulatory requirements.

  • Support continuous improvement initiatives related to document management and maintenance tracking.

  • Prepare spreadsheets, reports, trackers, and KPI documentation for management review.

  • Assist in identifying gaps or inconsistencies in records and help implement corrective actions.

Qualifications

  • Associate or Bachelor’s degree in Engineering, Business Administration, Industrial Technology, or related field preferred.

  • 1–3 years of experience in document control, engineering support, maintenance administration, or manufacturing operations.

  • Strong organizational and document management skills with high attention to detail.

  • Knowledge of GMP, FDA, OSHA, and manufacturing compliance standards preferred.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

  • Experience with ERP systems, CMMS systems, or document management software preferred.

  • Ability to manage multiple priorities and deadlines in a fast-paced environment.

  • Strong written and verbal communication skills.

  • Bilingual English/Spanish preferred.
