Duties and Responsibilities

  • Responsible for the development, maintenance and oversight of the prospect research program within the Development Office of University Advancement.

  • Create prospect records and tracks the status of prospect moves management and proposals including maintaining files and documents all relevant information and research accordingly.

  • Provide responsive and proactive research and creates profiles on potential prospects and existing donors, inclusive of individuals and organizations, to approved members of the University to enhance prospecting and donor development strategies.

  • Produce and distribute queries/reports detailing donor contacts and prospect/proposal status.

  • Review, enter and disseminate information from call and touch reports submitted by development officers.

  • Gather and verify key constituent information (i.e., updated contact information, employment, awards, obituaries, etc.) using a variety of sources and updates constituent database records.

  • Develop and update policies and procedures relative to job functions in prospect research.

  • Maintain validation tables related to prospect management and research within the Advancement module of the database.

  • Support special campaign or other University Advancement initiatives and projects as assigned by the Senior Director of Philanthropic Giving and/or Vice President for University Advancement.

  • Responsible for the maintenance and overall accuracy and integrity of corporate/foundation records in the University Advancement database.

  • Research, create and update corporate and foundation records.

  • Verify information necessary for University Advancement objectives including general demographic, industry, stock market, historical, legal, philanthropic and/or other available information of corporate/foundation constituents and prospects.

  • Coordinate with University Advancement staff to create and maintain specialized groups of organizations, such as Business & Industry.

  • Assist in training and overseeing student workers and graduate assistants relative to database maintenance of constituent records, prospect management and research.

  • Attend Campaign and University Advancement related meetings and/or professional conferences to stay informed of current topics and events.

  • Provide support to and serves as part of the Development team to distribute information to various members of the University and reviews and updates data entry, data integrity and filing procedures.

  • All other duties as assigned.

Required Qualifications

  • Three years of advanced clerical or para-professional experience or equivalent combination of experience and training. An Associate's degree may be substituted for two years of required experience.

  • Demonstrated experience with database management and Microsoft Office.

  • Ability to:

  • Proficiency in Microsoft Office including Word, Excel, PowerPoint, Outlook.

  • Valid driver's license.

  • Successful interview

  • Successful completion of three background checks.

Preferred Qualifications

  • Bachelor's degree.
  • Two to three (2-3) years experience in philanthropy in higher education fundraising or a non-profit environment or related entity.
  • Two to three (2-3) years experience in prospect research/management.
  • Two to three (2-3) years knowledge of computer database systems (Blackbaud Raiser's Edge preferred) and software packages (Hyperion, LexisNexis, Wealth Engine preferred), especially in a Windows environment (Microsoft Office: Word, Excel and PowerPoint) for personal computers, computer logic concepts and on-line systems.
  • Two to three (2-3) years of electronic database search experience.
