Research Coordinator
The Research Coordinator serves as the Core Imaging Laboratory (CIL) Manager for the Chronic Subdural Hematoma Treatment with Embolization Versus Surgery Study (CHESS), a multicenter clinical trial within the Department of Medicine at RWJBarnabas Health. The CIL Manager is responsible for the day-to-day operational management of centralized imaging workflows and serves as a critical connection between participating study sites, the Central Imaging Laboratory, and the study team.
By coordinating the acquisition, verification, processing, secure storage, and quality control of clinical imaging data, the CIL Manager helps ensure the integrity, accuracy, confidentiality, and regulatory compliance of imaging data used in clinical research. This role works closely with study investigators and participating sites to maintain protocol adherence, support blinded analysis, and ensure imaging workflows remain consistent, efficient, and audit-ready throughout the study.
A Typical Day:
As a Research Coordinator, a typical day might include the following:
Coordinating the acquisition, transfer, verification, and secure storage of CT imaging data from participating clinical trial sites.
Managing day-to-day imaging workflows within the centralized, independent Core Imaging Laboratory.
Serving as the primary point of contact between participating study sites and the Central Imaging Laboratory regarding imaging submissions and study requirements.
Reviewing incoming imaging data for completeness, accuracy, quality, and compliance with study protocols.
Performing quality checks on submitted imaging studies and identifying missing, incomplete, or inconsistent data.
Communicating with site personnel to resolve imaging discrepancies and ensure appropriate data submissions.
Overseeing image processing workflows using imaging technologies and platforms such as DICOM, PACS, and AMBRA.
Monitoring adherence to imaging acquisition and submission protocols across participating study sites.
Ensuring imaging workflows comply with study requirements, institutional policies, and applicable regulatory standards.
Maintaining accurate, complete, and audit-ready documentation related to imaging submissions, quality checks, processing, and study activities.
Ensuring compliance with blinded image analysis procedures and maintaining the confidentiality and security of clinical research data.
Preparing and batching imaging datasets for independent analysis in accordance with study protocols.
Supporting regulatory documentation, reporting requirements, and study deliverables in coordination with the research team.
Assisting with training and onboarding participating site personnel on imaging submission procedures, requirements, and workflows.
Maintaining secure imaging archives in accordance with institutional policies and applicable NIH and research standards.
Monitoring the overall imaging workflow to identify operational issues and implement appropriate solutions in collaboration with the study team.
Collaborating with the Clinical Review Committee (CRC) Manager to ensure continuity of Core Imaging Laboratory operations when the CIL Manager is unavailable.
Supporting other clinical research activities, operational needs, and study-related assignments as directed.

You are able to manage competing priorities, maintain accurate documentation, and meet study timelines.
You have strong analytical, organizational, interpersonal, and written and verbal communication skills.
You are interested in neurosurgery, neurology, neuroradiology, neurovascular conditions, or related areas of clinical research.
You are comfortable supporting training, troubleshooting, and workflow coordination across multiple participating research sites.
You value collaboration and understand the importance of maintaining continuity in clinical trial operations.
To Be Considered:
Education: Medical degree required, including MD, MBBS, or DO.
Experience: Minimum of one (1) to two (2) years of clinical research experience required.
Clinical Research: Experience working in a clinical research environment, preferably involving multicenter clinical trials, imaging data, or neurological conditions.
Specialty Experience: Experience in neurosurgery, neurology, neuroradiology, or a related clinical specialty preferred.
Imaging Technology: Familiarity with medical imaging platforms and technologies, including PACS, DICOM, and AMBRA preferred.
Clinical Research Databases: Experience with clinical research databases and electronic research systems, such as WebDCU, preferred.
Regulatory Knowledge: Knowledge of Good Clinical Practice (GCP), FDA regulatory standards, clinical research requirements, and applicable institutional policies preferred.
Data Management: Demonstrated ability to coordinate, review, verify, organize, process, and securely maintain clinical imaging and research data.
Quality Assurance: Strong attention to detail and demonstrated ability to perform quality checks, identify discrepancies, resolve data issues, and maintain accurate documentation.
Communication: Strong written and verbal communication skills required, with the ability to effectively communicate with study sites, investigators, research staff, and other stakeholders.
Organization: Strong organizational and time-management skills required, including the ability to manage multiple imaging workflows, priorities, and deadlines.
Confidentiality: Demonstrated ability to maintain strict confidentiality of patient information, clinical research data, and blinded study information.
Collaboration: Ability to work effectively with multidisciplinary teams and coordinate activities across multiple participating clinical research sites.
Training: Ability to assist with training site personnel on imaging submission procedures and study-specific requirements.
