Destination Willamette, Lifestyle Properties, and PinotCar together provide vacation rental management, wine tours, transportation, and concierge services throughout the Northern Willamette Valley. Our team is passionate about creating memorable experiences for visitors while providing responsive, knowledgeable, and genuinely welcoming service.


As a Reservations & Guest Services Specialist, you will play an important role in the guest journey—from helping travelers select the right property or experience to supporting them throughout their stay. This position requires excellent communication, attention to detail, strong follow-through, and the ability to remain calm and solution-focused in a fast-paced hospitality environment.


Location: Destination Willamette Headquarters – McMinnville, Oregon
Schedule: Weekend availability is required.


Reservations & Booking Support


  • Respond promptly and professionally to reservation inquiries by phone, email, text, and online booking platforms.

  • Assist prospective guests in selecting the vacation rental, transportation service, or experience that best fits their needs.

  • Provide accurate information regarding property amenities, availability, rates, policies, fees, and booking requirements.

  • Support guests throughout the reservation process and confidently guide inquiries toward completed bookings when appropriate.

  • Create, modify, and maintain reservations with a high level of accuracy.

  • Confirm important reservation details and ensure guest information is properly documented in company systems.

  • Identify opportunities to enhance a guest’s stay through additional services, transportation, local experiences, or concierge support.

  • Follow established procedures regarding payments, cancellations, discounts, policies, and reservation changes.

Guest Experience & Communication


  • Deliver consistently warm, professional, and empathetic communication at every stage of the guest experience.

  • Serve as a primary point of contact for guest questions, concerns, and support before, during, and following their stay.

  • Actively listen to guests, acknowledge concerns, and communicate clearly and confidently.

  • Maintain thorough and accurate notes so other team members can easily understand the history, status, and next steps of a reservation or guest concern.

  • Troubleshoot guest issues calmly and effectively, gathering the appropriate information and offering practical solutions whenever possible.

  • Understand when an issue can be resolved independently and when leadership or another department should be involved.

  • Follow through on guest needs and open issues to ensure nothing is unintentionally left unresolved.

  • Maintain guest confidence and professionalism even when handling complaints, unexpected circumstances, or time-sensitive concerns.

Concierge & Destination Support


  • Provide thoughtful, concierge-style assistance tailored to each guest, including:

    • Winery, restaurant, and activity recommendations

    • Transportation and wine tour coordination

    • Itinerary assistance

    • Special occasion and celebration recommendations

    • Support with special requests before and during a stay

  • Develop a strong working knowledge of the Willamette Valley and the local businesses, experiences, and attractions we recommend.

  • Anticipate guest needs whenever possible and offer helpful suggestions that enhance their visit.

  • Represent Destination Willamette with warmth, professionalism, and genuine enthusiasm for our region.

Internal Communication & Coordination


  • Communicate effectively with Operations, Housekeeping, Maintenance, Transportation, and other team members regarding guest needs and reservation details.

  • Gather useful information from guests when maintenance or operational assistance is needed so the appropriate team can respond efficiently.

  • Escalate concerns appropriately while continuing to communicate calmly and confidently with the guest.

  • Ensure relevant information and updates are documented and shared with the correct department.

  • Review and complete assigned follow-up items before the end of each shift whenever possible.

  • Communicate clearly with the next team member when an issue requires continued follow-up.

What We’re Looking For


  • High school diploma or equivalent.

  • At least 1 year of customer service, hospitality, reservations, tourism, or related experience preferred.

  • Strong written and verbal communication skills.

  • A warm, professional, and service-oriented communication style.

  • Excellent attention to detail and follow-through.

  • Strong time-management, organization, and prioritization skills.

  • Comfortable managing multiple guest conversations and priorities at the same time.

  • Confidence using technology and learning new software systems.

  • Proficiency with Google Workspace or similar business applications.

  • Familiarity with the Willamette Valley—or enthusiasm and ability to quickly learn the region.

  • Ability to remain calm, resourceful, and solution-focused when unexpected situations arise.

  • Ability to work collaboratively as part of a team while also making appropriate independent decisions.

  • Dependable attendance and weekend availability.

Compensation & Benefits


Hourly Rate: $18.00–$22.00 per hour, depending on experience.


Schedule: Weekend availability is required.
