Job Summary:
The Resident Services Coordinator serves as the lead for reception and resident services at Aspen Lodge, acting as the primary point of contact for residents, guests, and daily facility use. This role is responsible for delivering a high level of customer service while supporting the coordination of facility access, reservations, activity sign-ups, and daily schedule adjustments. The position ensures that residents are able to easily navigate lodge services, amenities, and programs through clear communication and organized systems.

The Resident Services Coordinator supports programming and facility operations through scheduling, basic setup coordination, and real-time assistance, while also responding to general resident questions related to lodge use, community services, and HOA information.

Duties/Responsibilities:
  • Manage the atmosphere at Aspen Lodge, greeting residents and guests while maintaining a welcoming, professional, and organized front-of-house environment
  • Oversee daily reception operations to ensure consistent, high-quality customer service and smooth day-to-day flow
  • Coordinate daily facility usage, amenity access, and activity setup in alignment with schedules and operational needs
  • Manage, confirm, and track reservations for classes, events, and facility spaces, ensuring accuracy and consistency
  • Answer incoming calls, emails, and in-person inquiries, providing clear, accurate information and direction
  • Assist residents with general HOA and community questions, escalating more complex items as appropriate
  • Support activities and programming through registration, coordination, communication, and on-site assistance
  • Assist with event and activity setup, ensuring spaces are prepared according to requirements and standards
  • Support and coordinate front-of-house staff scheduling to ensure proper coverage and service levels
  • Provide guidance and support to staff to maintain service standards and consistency in daily operations
  • Step into reception duties as needed to support coverage and maintain service levels
  • Monitor daily operations and ensure compliance with policies, procedures, and facility guidelines
  • Maintain organization of scheduling systems, reservations, and communication logs
  • Perform other related duties as assigned

Knowledge, Skills, and Abilities
  • Strong customer service and interpersonal communication skills

  • Proficient in Microsoft Office and general computer systems
  • Ability to communicate clearly and effectively both verbally and in writing

Education and Experience:
  • High School Diploma or equivalent required
  • 2+ years of customer service, hospitality, or administrative experience preferred
  • Previous leadership or supervisory experience preferred
  • Experience in HOA, community management, or recreation environments is preferred

Physical Requirements:
  • Ability to spend prolonged periods sitting at a desk and working on a computer
  • Prolonged periods of standing, walking, and talking
Work Schedule:
This Full-Time position works weekday and weekend hours and may include holidays. The schedule is subject to change based on the needs of the organization.
